Position Overview
Corporate Hiring Solutions Inc. (CoHires) is seeking a highly organized and detail-oriented Human Resources and amp; Payroll Administrator to support our growing organization. This role is responsible for managing payroll administration human resources operations employee benefits recruitment compliance travel and expense management and general office administration. The ideal candidate will possess strong interpersonal skills maintain strict confidentiality and thrive in a fast-paced professional environment.
Key Responsibilities
Payroll Administration
- Process bi-weekly payroll through ADP or other third-party payroll providers.
- Maintain payroll records and ensure timely and accurate payroll processing.
- Manage employee timekeeping attendance records and paid time off (PTO) administration.
Human Resources Management
- Maintain employee personnel files HRIS systems policy documents and all required HR records.
- Manage the full recruitment lifecycle including:
- Workforce planning and hiring needs assessment
- Job description development and updates
- Job posting and candidate sourcing
- Agency coordination
- Interview scheduling and participation
- Offer preparation and onboarding documentation
- Coordinate new hire onboarding orientation and employee training programs.
- Administer employee benefits including health insurance welfare plans and 401(k) enrollment and termination processing.
- Support employee inquiries related to benefits and claims.
- Manage offshore employees through third-party Employer of Record (EOR) providers.
- Process employee status changes promotions compensation adjustments transfers and terminations.
- Coordinate and oversee employee engagement and morale programs.
Compliance and amp; Reporting
- Assist with regulatory reporting and compliance filings including EEO-1 VETS-100 OSHA and other required reports.
- Maintain compliance with federal state and local employment regulations.
- Support safety insurance operational facility and workplace compliance initiatives.
- Partner with leadership to ensure adherence to all applicable employment and workplace regulations.
Training and amp; Development
- Administer employee learning programs through the Learning Management System (LMS).
- Track training completion and maintain training records.
- Coordinate employee development initiatives.
Travel and amp; Expense Administration
- Coordinate employee travel arrangements.
- Serve as the local administrator for Concur or similar travel management systems.
- Review and process employee expense reports and reimbursements.
Office and amp; Administrative Support
- Manage office operations supplies mail distribution visitor coordination and meeting logistics.
- Order office supplies meals and other operational necessities.
- Provide administrative support to management teams including Service Sales and General Management.
- Manage company purchasing activities through Amazon and corporate credit card tracking.
- Assist with credit card reconciliations and expense tracking.
Accounting and amp; ERP Support
- Perform accounting-related data entry tasks.
- Process sales order entries and customer invoicing.
- Set up new customer accounts within the ERP system.
- Assist with customer credit checks and account maintenance.
Required Qualifications
- Bachelors Degree required.
- Minimum of two (2) years of experience in Payroll Administration Human Resources Office Management or a related field.
- Experience processing payroll through a third-party payroll system.
- Strong proficiency in Microsoft Office Suite particularly Excel.
- Excellent organizational and time management skills.
- Strong analytical and problem-solving abilities.
- Exceptional attention to detail and accuracy.
- Strong interpersonal communication and customer service skills.
- Ability to maintain confidentiality and handle sensitive information with professionalism.
- Self-motivated with the ability to manage multiple priorities independently.
Preferred Qualifications
- Knowledge of federal and state employment laws and insurance regulations.
- Familiarity with OSHA workplace safety requirements.
- Experience with ADP Workforce Now (WFN).
- Experience using Deltek Replicon Timekeeping and amp; Attendance.
- Experience with TalentLMS or other Learning Management Systems.
- Familiarity with Microsoft Dynamics AX D365 or similar ERP platforms.
Physical Requirements
- Ability to sit stand walk bend and perform routine office activities.
- Frequent use of computers telephones and standard office equipment.
- Ability to lift and move materials weighing up to 25 pounds.
- Strong verbal and written communication skills.
- Ability to travel domestically by car train ferry and/or air as needed.
- Ability to perform duties safely and maintain consistent attention to detail.
