Job Summary

POSITION SUMMARY

The Human Resources Administrative Assistant supports the daily operations of the Human Resources department by processing employee transactions such as hires promotions transfers and terminations. This role ensures accurate and up-to-date employee records across staff faculty adjuncts and student workers while also assisting with HR-related expenses including vendor invoice tracking and payment. The HR Assistant provides administrative support for benefits onboarding and general HR processes helping maintain compliance accuracy and a positive employee experience.

POSITION DUTIES

  • Process employee personnel actions including hires promotions transfers job reclassifications and terminations.
  • Enter and maintain accurate employee records in the HRIS and related systems for staff faculty adjuncts and student workers.
  • Audit and update employee files regularly to ensure compliance with legal and institutional standards.
  • Assist employees with routine questions related to HR policies procedures and systems.
  • Coordinate completion and collection of employment forms including I-9s tax forms background checks contracts trainings and onboarding documentation.
  • Prepare standard correspondence reports and HR communications as directed.
  • Maintain confidentiality of sensitive employee data and ensure compliance with privacy regulations.
  • Provide general administrative support to the HR department including scheduling filing and handling departmental communications.
  • Assist with HR projects and initiatives as needed such as employee recognition training coordination compliance reporting or other annual HR processes.
  • Track organize and process HR invoices and expenses.
  • Demonstrated commitment to the Christian faith and the mission values and Statement of Faith of Vanguard University required including evidence of personal discipleship and a lifestyle consistent with the Universitys Christ-centered community standards.
  • Other duties as assigned including mandatory participation in annual commencement ceremonies.

SKILLS & QUALIFICATIONS

Required

  • High school diploma.
  • 12 years of administrative experience preferably in an office environment.
  • Proficiency in Microsoft Office Suite (Word Excel Outlook and PowerPoint).
  • Excellent oral and written communication skills.
  • Strong organizational skills and attention to detail with the ability to maintain accurate records and manage multiple priorities.

Preferred

  • Associates degree in Human Resources Business Administration or a related field preferred. Bachelors degree strongly preferred.
  • Two or more years of administrative experience preferably in HR or related office setting.
  • Experience working with confidential information and maintaining accurate records.
  • Experience coordinating schedules meetings events or administrative projects.
  • Familiarity with Human Resources Information Systems (HRIS) applicant tracking systems (ATS) or other database management systems.

SALARY

This is a non-exempt full-time benefit-eligibleposition. Expected Pay Range: $20.00 - $23.00 per hour.

Placement within the salary range is commensurate upon education and experience. Posted salary range reflects anticipated hiring scale for the position. Vanguard University also offers a generous benefits package.
