Opportunity to Support Strategic HSE Initiatives
This role provides visibility into corporate and operational HSE activities supporting data management reporting and coordination activities critical to business continuity and compliance.

Summary:

The HSE Coordinator is responsible for administrative oversight document control and coordination of HSE activities within Voith Hydro North America. This role directly supports the Head of HSE by managing documentation systems schedules reporting processes and communication workflows to ensure the effectiveness and compliance of the HSE Management System.

The position plays a key role in ensuring that HSE records environmental documentation and compliance obligations are accurate complete and accessible supporting all Voith Hydro North American operations and regulatory requirements.

Responsibilities:

HSE Administration & Coordination

  • Provide administrative support to the VHNA HSE organization including coordination of meetings calendars and key deliverables.
  • Maintain and organize HSE documentation including:
    • Policies procedures and SOPs
    • Training records
    • Audit and inspection reports
  • Support preparation and distribution of internal HSE communications and updates.

Document Control & Management System Support

  • Manage document control processes for the HSE Management System to ensure:
    • Version control
    • Accuracy and consistency
    • Accessibility across the organization
  • Maintain centralized filing systems (SharePoint or equivalent) for HSE records and documentation.
  • Support updates to HSE procedures templates and forms in alignment with corporate standards.

Environmental Compliance Support

  • Assist in maintaining environmental compliance documentation related to:
    • Waste management and disposal records
    • Environmental permits and regulatory filings
  • Support compliance tracking aligned with manufacturing environmental requirements and regulatory obligations (e.g. waste handling and reporting).
  • Coordinate data collection required for environmental reporting and sustainability initiatives (as referenced in internal environmental reporting discussions).

HSE Reporting & Data Management

  • Compile and maintain HSE metrics and reporting dashboards including:
    • Incident tracking
    • Audit results
    • KPI performance data
  • Support preparation of reports for leadership review and monthly HSE meetings.
  • Ensure accuracy and timely submission of required data inputs.

Scheduling & Program Coordination

  • Coordinate HSE-related activities and programs including:
    • Training sessions
    • Audits and inspections
    • Safety meetings and committees
  • Support scheduling of key HSE events such as:
    • Safety training for manufacturing personnel
    • Monthly HSE meetings and KPI reviews (as reflected in ongoing HSE meeting cadence).

Audit & Compliance Support

  • Assist in preparation for internal and external audits by ensuring required documentation is available and current.
  • Track audit findings and support follow-up actions to closure.
  • Maintain records necessary to demonstrate compliance with HSE policies and regulatory requirements.

Continuous Improvement & Program Support

  • Identify opportunities to improve administrative efficiency document management and reporting processes.
  • Support HSE initiatives such as:
    • Behavior-based safety / Risk Tolerance Hazard Recognition and Stop-Work Authority programs
    • Environmental compliance improvements
  • Assist with rollout and tracking of HSE actions and initiatives across the organization (consistent with internal HSE action tracking practices).

Requirements:

Education

  • Associate or Bachelors degree in Business Administration Environmental Science Occupational Safety or related field preferred

Experience

  • Minimum 24 years of experience in:
    • Administrative coordination or document management
    • HSE quality or regulatory environments (preferred)
  • Experience supporting compliance or reporting processes is an asset

Technical Knowledge

  • Familiarity with:
    • Document control systems and records management
    • Environmental compliance documentation (e.g. waste management reporting)
  • Proficiency in:
    • Microsoft Office Suite (Excel Word PowerPoint)
    • SharePoint or equivalent document management systems

  • Effective communication and coordination skills across teams
  • Ability to manage multiple priorities and meet deadlines
