POSITION TITLE: HR Process Documentation Specialist (Temporary/Full-Time 3-6 months)

POSITION SUMMARY:

The HR Process Documentation Specialist is a contract role responsible for conducting a comprehensive review of workflows across every team within the Human Resources department documenting current-state processes and producing a standardized library of Standard Operating Procedures (SOPs) and training materials. This role partners directly with team leads across Talent Acquisition Total Rewards HR Business Partners and HRIS & People Analytics to capture institutional knowledge refresh existing documentation identify process gaps and build the foundation for consistent scalable HR operations.

RESPONSIBILITIES AND DUTIES:

  • Conduct structured interviews and job-shadowing sessions with each HR functional team to document workflows decision points hand-offs and system touchpoints.
  • Inventory and evaluate existing SOPs training materials job aids and reference documentation; assess for accuracy currency completeness and alignment to current practice.
  • Revise consolidate or retire existing documentation as appropriate and migrate legacy content into the standardized template and process library.
  • Map current-state processes using flowcharts swim lanes or narrative documentation as appropriate for the audience.
  • Draft format and finalize new SOPs in a consistent template covering purpose scope roles step-by-step procedures systems used exceptions and revision history.
  • Develop accompanying training materials including quick-reference guides job aids checklists and slide decks suitable for onboarding and cross-training.
  • Identify redundancies gaps and opportunities for standardization; surface findings and recommendations.
  • Establish a centralized process library and governance approach for ongoing SOP maintenance and version control.
  • Coordinate review and sign-off cycles with process owners and subject matter experts.
  • Support knowledge transfer to permanent team members at the close of the engagement.

              REQUIREMENTS:

              • Minimum 5 years of professional experience in HR operations process improvement technical writing or instructional design.
              • Demonstrated experience authoring and revising SOPs workflows and training documentation in a corporate or nonprofit environment.
              • Working knowledge of core HR functional areas including talent acquisition total rewards HRIS and HR business partnering.
              • Proficiency in Microsoft Word PowerPoint Excel and Visio or equivalent process-mapping tools.
              • Strong interviewing listening and synthesis skills; able to translate SME input into clear structured documentation.
              • Excellent written communication with attention to consistency clarity and audience.
              • Ability to manage multiple concurrent workstreams and deliver on committed timelines with minimal oversight.
              • While subject to change based on business needs this is an on-campus position requiring a minimum of 4 days per week working onsite from our La Jolla campus with flexibility to work 1 day per week remotely from home.

                                    COMPENSATION:

                                    The expected hiring range for this position is $40.00 to $44.00/hourly commensurate with experience. Consideration will be given to experience that exceeds the listed requirements.
