Position Summary:

Reports to the Director Employee Benefits. Performs a variety of technical reporting analysis and administrative duties relating to employee benefits activities.

Essential Functions:

  • Responsible for day to day administration of the 401K plan including plan updates reporting weekly payroll funding and other miscellaneous assignments.
  • Coordinate direct bill process for employees on unpaid leave of absence to ensure compliance and continuation of coverage.
  • Provide oversight and support for payment of invoices to benefit vendors.
  • Responsible for providing first level support for employee manager and HR benefit questions and concerns.
  • Coordinate communication to employees regarding life insurance claims and provides overall support to beneficiaries to ensure life claims are filed and processed.
  • Support data validation and reporting by completing system testing as requested. Provide feedback to key stakeholders to improve overall system performance and integration.
  • Perform audits of HRIS and vendor systems to ensure employee eligibility information is correct and that file feeds are working properly.
  • Coordinate with the information services department to maintain electronic system data feeds to outside benefits administrators insurance companies retirement plan record keeper and other approved benefits vendors on a weekly basis.
  • Coordinate benefit eligibility with company human resources staff through error reports dependent eligibility reports etc. to ensure accuracy of payments to insurance companies.
  • Provide backup support for employee benefits department in staffs absence and provide general information as needed assist with backup support for receptionist etc.
  • Coordinate services from benefit vendors to ensure up-to-date billing information and pay the billing after balancing to the applicable HRIS reports.
  • Maintain employee enrollment changes to health and welfare and retirement plans within HRIS and third-party systems.
  • Provide support for the maintenance of all corporate benefit files minutes and records.
  • Assist with Leave COBRA HSA and FSA administration with third-party administrators; assist with direct billing as needed.
  • Maintain balances and processing of ACA payments.
  • Ensure the benefits webpage has the correct up-to-date information.
  • Maintain accountability of property; adhere to safety practices.
  • Demonstrate a commitment to valuing diversity and contributing to an inclusive working environment.

  • Ensure day-to-day activities promote sustainability and reduce the impact on the environment by minimizing waste and maximizing recycling; saving energy; and minimizing water usage.
  • It is expected that the incumbent shall perform other duties as assigned within his/her capabilities as determined by management.

Education and Experience Requirements:

  • High school diploma and a minimum of two years experience in HR benefits insurance retirement plans or accounting preferably in a corporate benefits environment.
  • College education is preferred.
  • Must be proficient in the use of Word and Excel with ability to perform advanced functions in Excel including pivot tables and vlookups.
  • Must have excellent verbal and written communication skills.
  • Unless waived by management valid drivers license in the state of employment with an acceptable driving record.
