Job Summary

You are often the first friendly voice or face someone from HR interacts withwhether its a new hire asking about their onboarding paperwork a manager needing an interview scheduled or an employee submitting a life event in PlanSource. Beyond day-to-day execution you help bring HRs culture to lifecoordinating the logistics behind employee engagement events like the fall festival and volunteer days and helping craft the communications that keep people informed. Youre a builder behind the scenes and you take pride in getting the details right. You report to and work closely with HR Generalists and HR leadership who guide you and take on anything that requires deeper judgmentgiving you a strong support system as you build your HR foundation.

ESSENTIAL FUNCTIONS
Talent Acquisition Support
Coordinate the end-to-end recruitment process including managing position requests posting open positions offer dispositions employee job change requests managing high-volume interview schedules conference room booking and arranging candidate travel/lodging accommodations to ensure a seamless experience.
Serve as a professional point of contact for candidates providing timely updates and feedback to ensure a welcoming and positive impression of the organization.
Maintain accurate candidate and requisition records in the applicant tracking system (ATS).
Total Rewards & Benefits Support
Provide administrative assistance for benefits moments that matter including processing life events in PlanSource tracking FMLA/ADA timelines and initiating background checks.
Assist with routine benefits administration tasks including enrollment tracking employee questions and vendor documentation.
Help compile and organize compensation data salary survey inputs and job architecture documentation under the direction of the Total Rewards teamincluding maintaining accurate job descriptions in the system for benchmarking purposes.
HR Operations Support
Manage the Worker Compensation (WC) process as well as be a liaison and resource for the markets as it relates to WC.
Function as the primary point of execution for HRIS activity managing data entry for new hires pay changes and employee transfers with a high degree of precision and attention to detail.
Handle recurring execution tasks such as unemployment claims employment verifications and pulling records for department audits with high responsiveness.
Run standard reports and audits to help ensure data accuracy and completeness escalating discrepancies to HRIS team members.

Onboarding Operations Support
Prepare new hire paperwork offer packets and onboarding materials; track completion of required forms and compliance documents.
Coordinate new hire orientation logistics including scheduling room/technology setup and communication with new employees and managers.
Support pre-employment steps such as background checks drug screens and license/credential verification tracking.
Serve as a friendly first point of contact for new hires during their first days helping resolve basic questions or routing them appropriately.

Employee Engagement & Communications Support
Manage the logistical planning for employee engagement activities such as coordinating the fall festival organizing volunteer opportunities and ordering milestone awards.
Draft and distribute clear company-wide communications regarding staff updates and wellness programs to keep the organization informed and healthy.

General HR Support
Maintain secure digital employee files ensuring offer letters performance reviews and other sensitive records are filed accurately and in compliance with company policy.
Maintain focus and productivity in a fast-paced environment managing multiple demands and tasks simultaneously with minimal supervision.
Represent the HR team with a can-do attitude and a positive engaged manner when responding to general HR questions escalating more complex matters to an HR Generalist or HR leadership.
Handle sensitive personnel information and confidential documents with extreme professionalism and discretion.
Maximize efficiency by utilizing business tools such as Microsoft Office and Smartsheet to track departmental projects and recruitment activities.
Perform other administrative duties as assigned to support the broader HR team.

EDUCATION & EXPERIENCE
High school diploma or equivalent required.

EXPERIENCE
12 years of experience in an HR support administrative or customer service role required; healthcare industry experience a plus.
Prior exposure to an HRIS/HCM system (e.g. UKG/UltiPro) or applicant tracking system preferred but not required.

KNOWLEDGE SKILLS AND ABILITIES
Extreme attention to detail and precision particularly when executing HRIS data entry and compliance-related tasks.
Strong sense of ownership and responsiveness when handling recurring execution tasks (e.g. verifications claims audits).
Ability to maintain focus and productivity in a fast-paced environment managing multiple demands simultaneously with minimal supervision.
High level of discretion and professionalism when handling sensitive personnel information and confidential documents.
Clear professional written and verbal communication including company-wide communications.
Proficiency with Microsoft Office and Smartsheet; comfort learning HRIS and benefits administration platforms (e.g. UKG/UltiPro PlanSource).
A team-oriented service-minded can-do approach and eagerness to learn across multiple HR disciplines.
Ability to exercise good judgment and know when to escalate an issue.

ENVIRONMENTAL WORKING CONDITIONS
This role is based in-office at the Corporate HQ in Phoenix AZ.
Standard business hours with occasional flexibility needed to support onboarding orientation or event schedules.

PHYSICAL/MENTAL DEMANDS
Requires sitting and standing associated with a normal office environment.
Requires manual dexterity for using a calculator and computer keyboard.
