OurHRteam is a key part of our success and we seek an outstandingHR Coordinatorwho will help createa great role is essential in fostering a positive mission-aligned workplace culture and ensuring smooth HR HR Coordinator willassistthe day-to-day HR processes providing support to the HR Manager and broader HR function.

Duties and Responsibilities

The HR Coordinator will help support HR responsibilities include the following:

  • Culture &Engagement: Work actively to infuse Vanguards mission and values across the team by reinforcing and encouraging processes interactionseventsand rewards that further the organizational culture. This includes the following:

  • Helping toorganize Vanguard events which reinforce culture.

  • Being present in the life of Vanguard such as staff celebrations community service events etc.

  • Handling our systems that enable team engagement.

  • HRAdministration

  • Employee files:Maintaincomplete and compliant access to filesin accordance withpolicies.

  • Employee benefitsand related systems:Facilitatebenefitenrollment and administration of benefits including medical vision dentalPTOWorkers Compensation FMLA FAMLI.

  • WorkerssCompensation:Assist OSHAofficerto handle anyworkersscompensation claims and relatedprocesses.

  • Policies & procedures:Stay up todate onand help enforce practice personnel policies and adherence to policies. Keep all notices forms and manuals current across consistent application of personnel policies and procedures.

  • Payroll:Supportthe Financeteam withHR payroll functions such as updatingteam memberfilesand adding notes to payroll documents as needed.

  • Reporting: Generate HR reports toassistwith HR functions and other requested deliverables.

  • Support team member lifecycle administration

  • Recruiting: AssistHR Manager and Recruiting teamwithlogistics screening and scheduling of candidatesas needed. Prepare recruiting materials. Organize and attendrecruitmenteventsas needed.

  • Onboarding: Run background checks and ensure files are complete prior toorientationincluding I-9s as needed. Meet all new hires to review HR policies procedures and benefitsin person. Secure all necessary paperwork andupload itto each trackrequiredtrainingas monthly and quarterly orientation days.

  • Performance management support:Help gather data for performance reviewprocess set up review templates track deadlines andmaintaindocumentation.

  • Lifecycle management:Coordinatestatus changesmaintainrecords and ensuretimelycompletion of all required documentation throughoutlifecycle.

  • Offboarding:Manage exit checklists system access removal coordination and schedule exit interviews.

  • Administrativeand Office Support

  • Assistwith administrative functions at headquarters office including mail sorting or eventcoordination.

  • Coordinaterecognitiongifts for team member milestones such as work anniversariesweddingsand new family additions.

  • Track HR Compliance items on HR Dashboard and reach out to team members as needed orescalatetoan appropriatemanager.

  • Duties may include other general HR responsibilities particularly asthe HRCoordinatordevelops inthe role.



Qualifications

Requirements

  • Bachelors degreein HR Business Administration Healthcare Administration or related field preferred;equivalent experiencemay be considered

  • 1-3 years of experience in HR office coordination or recruiting support role preferred.

  • Impeccable attention to detail witha highdegree of accuracyand follow-through.

  • Provenhistoryof working well on teams and delivering orientedmindset.

  • Excellent verbal and written skills required;strong interpersonal skills and a collaborative mindset.

  • Knowledge of PowerPoint ExcelWordand ability to learnnew programs.

  • Ability tomanagesensitive information with discretion and professionalism.

PreferredQualifications

  • HR degreecertificationor experience

  • Customer service experience and/or supervisory experience a plus

Reviews

Vanguard Skin Specialistsbelievesin providing regular feedback and encouraging professional development. Your firstcheck-inwith HR will be approximately90 daysfrom your date of hire. Written annual reviews take place each fall. For individuals with <6 months of tenure by fall review but >6 months tenure at spring review then theinitialreview will take place in the spring providesopportunitiesfor growth and advancement.

Schedule

  • Hours:Full-time of40 hoursper week. However there are weeks that will require more hours e.g.a reviewcycle annual meeting orientation special employee events etc.

  • Location:Primarily based in the HQ officelocatedat 12320 Oracle Blvd. Travel to each full-time office at least every quarter and occasionally more. May be more frequent if need arises e.g. training team member onboarding meetings etc. This isnota remote or hybrid position.

Compensation & Benefits

Compensationfor this roleis$21.00-$25.00per hour(based on experience) with eligibility for overtime and paid time off. The practice covers aportionof the premium for medical benefits and offers vision dental and 401K. Physical Working Conditions

  • Must be able to remain in a stationary positionup to90%

  • The other 10% occasionally move about inside the office to access file cabinets officeprinters etc.

  • Mustbe able to travelindependentlyto other locations for meetings andtotransportcompanymaterials

  • Regularly required towalk andcarry itemsweighing between10-25pounds

  • Occasionallyrequired to liftandcarry itemsweighingup to50pounds

  • May need to push or pullcartscontainingcompany materials

  • Operate a computer and other office machinery such as a calculator printer copier scanner or fax.

  • Be able to communicate accurately effectively andfrequently

  • Canidentifycolor on the computer and software used

  • Type at least 50 wpm
