How the Governance Coordinator contributes:
Working closely with theGovernance & Strategic Operations Director and Governance and LeadershipManager this role is responsible for execution ofmeetingcoordination and logistical supportformultiple governance entities includingtheHouse of DelegatesBoard of DirectorsBoard of Component Representatives and Committee on Volunteer Placement.
- Demonstrates strong organizational and prioritization skills while working with internal staff teams volunteerleadersand external stakeholders.
- Supportsmeeting logistics forBoard of Directors Board of Component RepresentativesandCommittee on Volunteer Placementmeetings including but not limited tomeeting notices/invitesmeeting packet preparation and distributionattendance trackingroom/AV requestsmeal ordering andcoordinationmeeting room setupand processing reimbursement meetinglogisticsfor workgroups/task forces as assigned.
- Supports activities for the CDA House of Delegates including:
- Composingcorrespondencemeeting notices invitationsarticles for leadership newslettersetc.
- Administration ofregistration andcredentialingforall houseattendees leading up to and onsite ensuringregistration database records as the primary point of contact for local executive directorsregardingcredentialing including delegate changes.
- Trackingdental student caucuspreferencesand communicatingwith dental students and local society executive directorsregardingassignments.
- Preparingand postingmaterials on the house site.
- Workingwith Marketing to update and publish the leadership recognition brochure.
- Preparingpackingand shippingonsite materialsoffice suppliesbadges/credentials handouts signage etc.
- Processing reimbursement forms for hosted attendees.
- Collects completed statement of disclosure forms for allvolunteer leaders includinghouseofdelegatesattendees;runs reports for legal counsel review toidentifypotential conflicts/concerns.
- Reviews meeting materials to ensure spelling and grammar iscorrectformatting is consistent etc.
- Participates in cross-departmental discussionsregardinglocal dental society engagementtrackingcollaboration between the Board of Directors and Board of ComponentRepresentativesand dental society visits/events.
- Tracks minutes for all governance meetings posting non-confidential minutes to .
- SupportstheBoard of Component Representatives elections process conducting outreach to local executive directors trackingresponses/elections preparing board ratificationitem and updatingleadership records following ratification.
- Assistswithcommunicating leadership placement decisionsandupdatingdatabaserecords following electionsensuringaccuratetracking/reporting of volunteer leadership service.
- Runs quarterly volunteerleaderattendance reports providing non-compliance reports to thesecretaryas necessary.
- Assistswith updates to CDAs board portalBoardEffect creatingworkrooms/profiles updating emails etc.;assistsvolunteer leaders with user issuesas needed.
- Supports the governance team in responding to Fonteva inquiries including running reports.
- Supports leadership recognition activities ensuring meaningful recognition for outgoing volunteer leaders- prints prepares and ships annual thank you letterscertificatesand awards.
- Monitors thegovernance inbox responding to inquiries/triaging inquiries to management asappropriate.
- Monitors volunteerleaderemail changes ensuring Outlook distribution lists andBoardEffectcontact information is current.
- Assistswith inputtinggovernance department budgetsand pulling reports as needed.
- Plans/coordinates department events throughout the year upon request.
- Identifiesrecommendsand manages process improvements to increase businessefficiencies.
- Establishes strong internal and external business relationships.
Minimum Qualifications:
- High school diploma orequivalent.
- Three (3)yearsadministrative/coordinator level experience preferably in a volunteer-based association or non-profit environment.
- Excellent interpersonalverbaland written communication skills.
- Ability to research and analyze issues;writereports and business correspondence.
- Ability to manage multiple priorities simultaneouslyoperatingquickly and efficiently.
- Ability to perform job duties independently exercising good judgmentdiscretionand professionalism.
- Proven competencyofcomputer skills including Microsoft Office Suite (Word Excel PowerPoint Teams)andZoom.
Preferred Qualifications:
- Strong experience inprogram/project work.
- Experiencewithassociation governance structures and processes including working with councilscommitteesand/or boards.
- Demonstrated experience developingand fosteringeffective relationships.
