Job Summary
The Front Desk Administrative Assistant will work collaboratively with leadership and team members to support the day-to-day operations of the office. This role serves as a key point of contact for employees visitors and external partners while helping ensure the office runs efficiently and professionally. This position offers a high level of autonomy and the opportunity to work independently with minimal supervision.
Key Responsibilities:
- Serve as the first point of contact for incoming visitors phone calls emails and general inquiries
- Handle incoming and outgoing correspondence and assist with office communications
- Support employee communication and administrative needs
- Maintain office supplies equipment and common areas to ensure a well-organized and functional workplace
- Assist leadership and other business units with a variety of administrative and operational projects
- Organize and maintain files records and documentation to ensure accuracy accessibility and compliance with recordkeeping requirements
- Provide general clerical and administrative support to promote efficient office operations
This role is ideal for someone who is organized self-motivated detail-oriented and enjoys balancing a variety of responsibilities in a professional office environment.
Qualifications :
- High school diploma or GED required.
- Minimum of three years of administrative clerical office support or related business experience.
- Proficient in Microsoft Office applications including Word Excel Outlook and SharePoint.
- Experience managing office operations including ordering and maintaining office supplies.
- Experience handling incoming and outgoing mail and packages including USPS UPS and FedEx.
- Strong organizational time management and prioritization skills with the ability to manage multiple tasks and meet deadlines.
- Excellent written communication skills with demonstrated attention to grammar spelling punctuation and professionalism.
- Strong verbal communication and interpersonal skills with the ability to interact professionally with employees leadership visitors and community partners.
- Ability to maintain confidentiality and exercise sound judgment when handling sensitive information.
- High level of accuracy and attention to detail.
- Self-motivated with the ability to work independently adapt to changing priorities and effectively manage unexpected situations.
- Strong customer service mindset with a friendly professional and approachable demeanor.
- Ability to process information accurately and make informed decisions within the scope of the position.
