ROLE OVERVIEW:
This position provides administrative support for transportation and shop compliance programs by maintaining regulatory records coordinating compliance documentation tracking key deadlines and ensuring audit readiness to support safe and compliant operations.
Typical schedule is Monday - Friday 8AM - 4:30 PM.
DUTIES AND/OR RESPONSIBILITIES (summary of components that make up the job)
- Assist monitor and track the scheduling of random and DOT drug screens.
- Assist monitor and track the scheduling of DOT physicals for CDL drivers.
- Data entry and reporting for DOT regulatory compliance.
- Verifications of employment DOT
- Ensures appropriate regulatory files and reports are submitted to the proper agency on a timely basis.
- Data entry of driver qualification files for all SMAs in the region.
- Data tracking software where applicable for accurate and timely safety data input and management.
- Runs employee MVRs for Annual DOT regulation or as needed.
- Preparing loss runs safety records and injury reports for trends and patterns.
- Review and report team participation in daily work plans safety meetings and other safety related safety reporting.
- Assist Region Fleet & Shop Safey Manager with monitoring all data for reviews.
- Monitor and track CSA violations & roadside inspections with maintenance repairs and PMs
- Routine auditing of data for reviews.
- Works closely with region safety fleet shop personnel.
- Provide fleet and shop management with data analysis reporting and trend insights.
- Ensure DOT MSHA OSHA EPA DNR safety and environmental regulation compliance.
- Always work safely and take action to prevent any and all unsafe actions processes and behaviors.
- Perform other duties as assigned.
MINIMUM REQUIREMENTS (minimum educational experience or other relevant job requirements)
- High school diploma or equivalent; additional training and/or related experience preferred.
- Knowledge of general office procedures records management and personnel-related processes.
PREFERRED REQUIREMENTS (preferred requirements i.e. certifications software use etc.)
- Proficient in Microsoft Office applications (Word Excel Outlook PowerPoint and Teams) including document creation and formatting spreadsheet management and reporting.
- Experience with business and fleet management software such as UKG Samba Adobe Acrobat Samsara CAT Inspect and Smartsheet.
- Excellent interactions skills with employees.

COMPENSATION:
$22.00 - $27.00 per hour depending on experience.
