Fact Witness Coordinator
ROLE
We are seeking an experienced Fact Witness Coordinator to support the U.S. Attorneys Office (USAO) Southern District of West Virginia. The USAO serves as the nations principal litigators under the direction of the Attorney General responsible for the prosecution of criminal and civil cases in which the United States is a party and the collection of debts owed to the Federal this role you will provide witness management assistance prior to during and after trial working directly with fact witnesses to ensure their appearance for court pre-trial conferences and grand jury proceedings while coordinating travel lodging reimbursements and documentation in accordance with Department of Justice and USAO policies and procedures. RESPONSIBILITIES
  • Provide witness management assistance prior to during and after trial; work directly with fact witnesses to ensure appearance for court pre-trial conferences and grand jury proceedings.
  • Receive visitors and field phone calls and inquiries from fact witnesses regarding court appearances pre-trial conferences grand jury proceedings and expense reimbursement; obtain pertinent information necessary to arrange witness travel and reimbursements.
  • Initiate contact with fact witnesses to confirm travel arrangements appearance dates and times and identify any special circumstances or needs; use judgment to determine when the AUSA should be notified.
  • Confer with the AUSA regarding special witness circumstances including special authorizations international witnesses military or federal employee witnesses or hostile witnesses; complete required documentation and obtain prior approvals before proceeding with travel arrangements.
  • Arrange fact witness travel and lodging in accordance with Department of Justice and USAO policies; ensure all travel documents and appearance information are provided to the witness in advance.
  • Meet witnesses upon arrival perform courtroom orientation accompany witnesses to court and ensure a safe waiting area is available; collect necessary documentation and signatures for reimbursement.
  • Prepare and submit witness vouchers and reimbursement documentation; reconcile Government Travel Accounts and respond to inquiries on pending and completed vouchers.
  • Coordinate as necessary with the Court Probation Pretrial U.S. Marshals Service and investigative agencies.
  • Compose original correspondence and complete recurring documents requiring a working knowledge of legal procedures and fact witness laws and regulations.
  • Establish and maintain fact witness files databases and calendars; track hearings trial dates grand jury proceedings and scheduling conferences.
  • Perform other administrative and logistical fact witness management duties as assigned.

BACKGROUND/REQUIRED EXPERIENCE
  • Good oral and written communication skills
  • Proficiency in word processing and data entry/retrieval; ability to prepare and correct reports and correspondence using word processing software
  • Ability to review and analyze data and information from multiple sources; enter and retrieve data from databases; and prepare and format management reports
  • Ability to establish and maintain case/project files; schedule appointments; and maintain internal status information on the disposition of designated files and assets
  • Ability to answer inquiries regarding case-related information and status; obtain additional information from other agencies or organizations as needed
  • Ability to manipulate transfer compute and print information; assure information is accurate and perform analytical computations necessary to process data

EDUCATION
  • High School Diploma or equivalent required; undergraduate degree preferred

LOCATION
  • Charleston WV 25301 (On-site required)

CLEARANCE
  • Must be able to pass a Tier II (Civil) background investigation
  • Must be a U.S. Citizen; must have resided in the U.S. for at least 3 of the last 5 years

HOURS
  • 40 hours per week MondayFriday
  • 8 hours per working day; core hours 8:30 AM 5:00 PM local time

COMPENSATION
  • Compensation commensurate with SCA Wage Determination No. 2015-4347; competitive salary and comprehensive benefits package

Other Considerations: This position is W-2 only; no Corp-to-Corp or 1099 candidates. Relocation will not be offered. This position requires access to Department of Justice facilities and systems. As a condition of employment selected candidates must complete and receive favorable adjudication from a federal government background investigation as required by the U.S. Department of Justice. Individuals primary workstation is located in an office area. The noise level in this environment is low to moderate. Regularly required to sit for extended periods up to 80% of the time; frequently required to move about to access file cabinets and use office equipment such as PC copier fax telephone cell phone etc. Occasionally required to reach overhead bend and lift objects of up to 10 lbs. Specific vision abilities required by this job include the use of computer monitor screens up to 80% of the time.
