Facilities & Safety CoordinatorDepartment: Real Estate & Facilities / Health & SafetyReports To: VP of Facilities OperationsPosition Type: ExemptSupervises Staff: NoPosition SummaryThe Facilities & Safety Coordinator is a field-based hands-on role that combines proactive health and safety oversight with direct facilities maintenance responsibility across Goodwill NYNJ locations in New York and New Jersey. This position conducts safety and facility assessments performs minor and preventive repairs across all core building systems coordinates safety and compliance training (including administration of training and compliance-tracking systems) supports emergency preparedness and oversees fleet safety programs. The Coordinator also plays a key administrative and project management role maintaining accurate records preparing regular reports tracking work orders and vendor documentation and coordinating cross-functional projects from start to finish. The Coordinator partners closely with store mission Facilities Operations HR and Asset Protection leadership to ensure workplaces are safe compliant well-maintained and operationally ready visiting assigned facilities on a recurring schedule to perform routine maintenance safety checks and follow-up corrective ResponsibilitiesHealth & SafetyConduct routine health and safety inspections and facility assessments across Goodwill NYNJ workplace hazards document findings and coordinate corrective actions; perform follow-up inspections to verify with incident investigations documentation and root cause safety inspection records compliance documentation and reporting metrics ensuring information is accurate current and OSHA compliance initiatives and organizational safety field coaching and guidance to employees and leadership regarding safe work PreparednessCoordinate and facilitate emergency evacuation fire severe weather and other emergency response emergency equipment including fire extinguishers first aid kits AEDs eyewash stations and other safety locations with maintaining Emergency Action Plans and emergency preparedness emergency response efforts during workplace incidents and facility drill outcomes and recommend improvements to emergency response Compliance & AdministrationDeliver safety orientation and ongoing safety training to employees and training and compliance-tracking systems including assignment management completion tracking reporting and compliance employee training records certifications and compliance and coordinate training schedules and project timelines to ensure required safety programs are completed on and certify employees on powered equipment including pallet jacks floor scrubbers compactors balers and other operational safe work practices through coaching field observations and employee regular compliance and training reports monitoring completion rates identifying gaps and recommending corrective Safety & TrainingOversee fleet safety training programs including driver qualification requirements and safe vehicle operation fleet-related training documentation and compliance tracking including administration of the relevant training and tracking fleet training records driver certifications and required fleet safety inspections and identify opportunities to improve vehicle safety and operational with Operations and Facilities leadership to address fleet-related safety Maintenance & SupportPerform routine and preventive maintenance across assigned facilities including HVAC systems checks wall and floor repairs ceiling tile and light replacements drains faucets and fixtures gates and overhead doors locks minor roof and parking lot repairs furniture assembly and wall mounts low-voltage wiring electrical fixtures and outlets and painting/ and repair minor issues on the spot whenever possible; document and escalate major issues requiring additional time resources or a certified preventive facility inspections and identify maintenance needs; coordinate larger repair requests and projects with Facilities facility readiness for inspections audits operational events and special with maintaining safe clean and functional workplace progress and completion of work orders in web-based applications and written reports; track prioritize and close out assigned work other technicians on projects that require more than one person to perform safely; fill in for other technicians during time to after-hours emergency calls and rotate on-call schedule with other team & Project SupportTravel regularly to Goodwill NYNJ facilities throughout New York and New Jersey (typically 810 assigned locations visited once or twice monthly).Partner with Operations Facilities Human Resources Asset Protection and other departments to resolve safety and operational concerns and coordinate cross-functional clear accurate reports summarizing inspections corrective actions training activities fleet compliance and facility conditions for leadership inventories of safety equipment emergency supplies and operational field support and project coordination during audits inspections and organizational to all Goodwill and personnel policies and procedures; report safety hazards and injuries to the Manager HR and/or Job Coach as duties as Management & Administrative PaperworkCoordinate with outside vendors and contractors for repairs inspections and services beyond the scope of in-house and review vendor quotes schedule vendor visits and confirm completed work meets quality and safety code and submit vendor invoices for approval; track invoice status and resolve billing organized administrative records of vendor contracts certificates of insurance work orders and service history for each and file safety maintenance and compliance paperwork including inspection reports permits and budget tracking by monitoring vendor spend and maintenance costs against facility accurate up-to-date documentation and reporting in shared systems for audits inspections and internal interaction with GWNYNJ employees and management demonstrating a customer-service mindset and attention to initiated and closed work timely reporting and administrative documentation with attention to detail across shared folders and clean professional appearance; neat and organized in performing maintenance are subject to change to meet business needs with management school diploma or equivalent required; Associates degree or technical school designation preferred.49 years of experience in facilities maintenance construction safety operations or a related knowledge of building systems and mechanicals; ability to perform minor maintenance and repair conducting inspections delivering training managing compliance programs coordinating projects or supporting facility operations knowledge of OSHA standards and workplace safety using training/compliance-tracking software or similar administrative platforms drivers license with a clean driving record; ability to travel throughout New York and New to lift up to 50 pounds and safely work from ladders when RequiredFacilities maintenance experience in office retail and/or warehouse interacting with typical facility maintenance administrative and reporting skills including basic computer literacy and experience with mobile work order management devices organizational and project management skills with the ability to track multiple tasks timelines and deliverables written verbal and problem-solving ability to successfully interact with stakeholders across the Goodwill and professional appearance;
