Job Summary
MalaceHR is seeking a Temporary Facilities Coordinator to provide onsite facilities support for six weeks. This position will support a 50000-square-foot three-story facility and work closely with the onsite Facilities Manager.
The ideal candidate will have a strong background in customer service facilities coordination or administrative support and be comfortable working in a client-facing environment with high expectations for service and attention to detail. This role will focus on day-to-day facility operations work order coordination vendor support and ensuring employee and client requests are addressed promptly.
- Serve as a primary point of contact for day-to-day facility requests and customer service needs.
- Work closely with the onsite Facilities Manager to support daily building operations.
- Receive track dispatch and follow up on work orders using a computerized work order or facilities management system.
- Coordinate with third-party vendors and service providers to ensure maintenance and service requests are completed on time.
- Meet and provide access to vendors as needed and assist with coordinating scheduled maintenance activities.
- Follow up with vendors and internal stakeholders regarding outstanding work orders and service requests.
- Ensure break rooms and common areas are properly stocked organized and maintained.
- Respond promptly and professionally to employee tenant and client requests.
- Conduct routine facility walkthroughs and identify items requiring attention or follow-up.
- Monitor vendor performance and communicate concerns or service issues to the Facilities Manager.
- Assist with coordinating hard and soft facility services.
- Maintain accurate records related to work orders vendor visits service requests and facility activities.
- Communicate and escalate facility-related concerns to the appropriate manager vendor or client representative.
- Help maintain compliance with established facility procedures client standards and applicable safety requirements.
- Participate in meetings with vendors service providers and other stakeholders as needed.
- Support continuous improvement efforts related to facility operations and customer service.
- Perform additional administrative and facilities-related duties as assigned.
- High school diploma or equivalent required; additional education or training is a plus.
- Minimum of 3 years of relevant experience in facilities coordination property support office administration customer service or a related environment.
- Previous experience using a work order management system CMMS or similar platform strongly preferred.
- Strong administrative organizational and follow-up skills.
- Excellent customer service and interpersonal skills.
- Comfortable working directly with clients employees vendors and contractors.
- Ability to work in a professional environment where client expectations and attention to detail are high.
- Ability to prioritize multiple requests and ensure issues are addressed in a timely manner.
- Strong written and verbal communication skills.
- Ability to understand instructions correspondence work requests and standard operating procedures.
- Ability to work independently while maintaining consistent communication with the onsite Facilities Manager.
- Basic computer proficiency including email Microsoft Office and work order management systems.
- Finance and accounting experience is not required for this position.
