Responsibilities

TheExecutive Assistant to the CEO provides high-level administrative and operational support to the Chief Executive Officer while also serving as a key partner in supporting Board of Directors activities and corporate office operations. This role requires exceptional judgment discretion attention to detail and organizational skills with the ability to manage complex priorities in a fast-paced executive environment. The ideal candidate is highly proactive detail-oriented and comfortable working onsite in close partnership with the CEO and senior leadership.

  • Must be flexible and have the ability to work out of multiple offices in the NY/NJ metro area ( i.e Secaucus NYC and primarily Westchester NY).
  • Must have prior experience working with CEO
  • Provide comprehensive administrative support for the CEO.
  • Manage complex and highly dynamic Executive calendar including prioritization conflict resolution and scheduling across time zones.
  • Coordinate all aspects of Executive travel including domestic and international itineraries flights accommodations ground transportation and visa or entry requirements
  • Prepare and edit documents reports and presentations with a high level of accuracy and professionalism.
  • Ensure CEO has appropriate materials printed and ready ahead of meetings
  • Prepare and track various executive administrative items (e.g. expense reports)
  • Act as a liaison between Executive and internal/external stakeholders ensuring effective communication and information flow.
  • Serve as a trusted representative of the CEO in internal communications and with external stakeholders when appropriate
  • Handle confidential information with discretion and maintain a high level of professionalism in all interactions.
  • Proactively identify opportunities for process improvement and implement efficient systems to enhance productivity.
  • Coordinate executive-level meals events and off-site meetings including reservations and catering.
  • Provide administrative support related to executive and Board communications as required.

Work Schedule & Availability

  • Standard work schedule: Monday through Friday 8:00 a.m. 5:00 p.m. (or 9 a.m. 6:00 p.m.) depending on Executives needs
  • Additional hours including evenings and weekends may be required to accommodate time zone requirements time sensitive matters and/or during peak business periods such as Executive and Board meetings.

Qualifications
  • Bachelors degree or equivalent combination of education and relevant experience required.
  • 7 years of experience providing administrative support to C-suite executives candidates with experience working directly with CEO preferred in a corporate fast-paced environment.
  • Advanced proficiency in Microsoft Office (Outlook Word PowerPoint Excel).
  • Ability to anticipate needs problem-solve and work independently.
  • Demonstrated ability to handle highly confidential and sensitive information with discretion and professionalism.
  • Strong organizational and time-management skills with the ability to manage multiple priorities simultaneously.
  • Excellent written and verbal communication skills.
  • Positive attitude and energy.

The pay range for this position is estimated to be $100000 - $120000. Actual salary to be determined by the experience knowledge skills and abilities of the applicant combined with location and alignment with market data. Additionally we offer comprehensive health dental and vision insurance paid time off and a 401(k) retirement savings plan with matching contributions.
