Position:Executive Assistant (Technology)
Reports to:Executive Director of Technology
Employment Status:Regular/Full-time
DESCRIPTION: Provide clerical and administrative assistance for the efficient and effective operation of the Technology Department administrative offices. Provide comprehensive support to department staff administrators instructional and support personnel and community members as required.
NOTE: The below lists are not ranked in order of importance.
ESSENTIAL FUNCTIONS:
Maintain respect at all times for confidential information including personnel records student files and departmental evaluations.
Access and manage school records and confidential documentation securely in compliance with data privacy laws and district policies.
Provide administrative cybersecurity support by tracking compliance items safety protocols and auditor requirements.
Assist with user account support including documentation management and automated entry workflows for staff and student accounts.
Provide software management support by tracking department software approvals software vendor agreements and student data privacy compliance.
Perform receptionist duties by answering the telephone routing appropriate messages and greeting office visitors.
Manage appointment calendars schedule meetings and coordinate travel arrangements for department staff and administrators.
Prepare letters reports purchase orders and requisitions while proofing all documents for accuracy.
Process department payroll reports verify hourly timesheets and accurately process staff mileage reimbursement logs.
Order and maintain office supplies while managing physical and digital file systems.
Work frequently on tracking auditing and managing inventory for all district and department technology equipment.
Perform regular database entries and updates for software programs application licensing and departmental tracking systems.
OTHER DUTIES AND RESPONSIBILITIES:
Demonstrates regular and punctual attendance.
Demonstrates a positive work ethic and works cooperatively with others.
Promote good public relations by personal appearance positive attitude and professional conversation.

QUALIFICATIONS:
High school diploma or general education degree.
Training or experience which evidences a basic knowledge of word processing secretarial duties and communication skills.
High level of confidentiality and ability to multitask in a fast-paced office environment.
Ability to efficiently and independently learn and understand new software programs.
Highly Needed: Demonstrated proficiency and experience in purchasing processes comprehensive inventory management and database management/data entry.
REQUIRED KNOWLEDGE SKILLS AND ABILITIES:
Ability to work effectively with others and handle a multitude of tasks simultaneously.
Ability to communicate ideas and directives clearly and effectively both orally and in writing.
Effective active listening skills and problem-solving skills.
Excellent computer skills and proficiency in operating standard office equipment.
