Job Summary
The job of Executive Assistant serves as the Superintendents primary assistant providing executive operations support while coordinating Board governance communications compliance activities and strategic initiatives. This position serves as the organizational hub for the Superintendents Office by monitoring district priorities ensuring timely follow-through and facilitating communication across departments.
This position reports to the Superintendent.

Essential Functions
Project & Operational Coordination
- Track action items from leadership meetings and Board meetings.
- Monitor completion of assigned tasks and follow up with district leaders to ensure timely completion of district priorities.
- Coordinate implementation of district initiatives by ensuring responsibilities are assigned monitored and completed.
- Anticipate operational needs and proactively assist the Superintendent in maintaining organizational efficiency.
- Identify potential barriers to implementation and assist departments in resolving issues before deadlines are missed.
Executive Operations Support
- Manage the Superintendents calendar and appointments.
- Coordinate executive-level meetings presentations and special events.
- Prepare reports presentations research and confidential documents.
- Represent the Superintendents Office in communications with staff families agencies and community partners.
- Maintain the highest level of confidentiality and professional judgment.
Board of Directors Support
- Prepare Board and Budget Committee agendas packets minutes and supporting materials.
- Coordinate all Board and Budget Committee meetings.
- Maintain official Board records policies administrative regulations Board manuals and governance documents.
- Draft correspondence on behalf of the Board of Directors.
- Maintain Board member records training documentation and governance resources.
Board Governance & Policy Coordination
- Monitor policy updates from the Oregon School Boards Association (OSBA) and assist the Superintendent in establishing implementation timelines.
- Maintain a district-wide policy implementation tracking system.
- Provide the Superintendent with regular implementation status updates.
District Communications & Public Relations
- Serve as the districts primary coordinator for internal and external communications.
- Develop edit and distribute district communications including emergency notifications press releases newsletters website content and community updates.
- Coordinate district communications during emergency situations in collaboration with the Superintendent.
- Ensure consistent district messaging branding and public information across all communication platforms.
- Coordinate communications related to Board actions district initiatives grants construction projects celebrations and special events.
- Maintain oversight of district website content to ensure information remains accurate current and accessible.
- Coordinate responses to public inquiries and media requests.
Data Reporting & Administrative Compliance
- Serve as the districts ODE Security Administrator by managing secure application access and user permissions.
- Monitor reporting deadlines and ensure assigned staff complete and submit reports accurately and on time.
- Coordinate administrative processes related to interdistrict student transfer requests.
- Coordinate the districts volunteer background approval process in accordance with Board policy and district procedures.
District Office Operations
- Coordinate the daily administrative operations of the District Office.
- Manage the District Office calendar meeting schedules and facility use.
- Coordinate use of District Office meeting spaces by staff and community partners.
- Coordinate office systems and workflows that support efficient district operations.
- Support executive leadership by coordinating administrative processes and organizational needs.

- Proficiency with Microsoft Office Google Workspace website content management systems and web-based applications.
Education & Experience
- Associates degree required; Bachelors degree in Business Administration Public Administration Communications Education or a related field preferred. Equivalent combinations of education and experience may be considered.
- Minimum three years of progressively responsible experience in project coordination executive operations organizational administration communications or executive support preferably in public education local government or another complex organization.
- Demonstrated experience coordinating multiple projects managing competing priorities and working with confidential information.
- Experience supporting executive leadership governing boards or senior administrators is preferred.
