    Contract Length/Days: (2026-2027/ 260 Days)

    Reports to: Executive Director of Student Services

    EDUCATION/EXPERIENCE

    Required:

    • Bachelors Degree
    • 2 years of experience in a related field as an executive assistant

    Preferred:

    • Experience working in educational governmental or other large non-profit organizations
    • Knowledge of state and federal laws related to student services (e.g. IDEA ADA Section 504)
    • Bilingual Spanish

    JOB DESCRIPTION

    Summary/Objective: Performs executive administrative duties in the Office of Student Services directly serving the Executive Director of Student Services. The position works with considerable delegated authority in representing the department and carrying out administrative tasks related to special education early childhood programming and mental and physical health services. Self-directed leadership and the ability to maintain confidentiality regarding privileged information are essential.

    Essential Functions:

    Administrative Responsibilities

    • Composes routine and complex correspondence including reports letters and memos using district databases Google Suite and Microsoft Office.
    • Screens and routes incoming calls and responds to questions or concerns from staff and the community regarding student services policies and procedures.
    • Maintains and coordinates the Executive Directors calendar meeting obligations and community commitments.
    • Prepares meeting agendas and materials; attends meetings to take responsibility for minutes and permanent records.
    • Manages department records including legally required special education student progress reports and state documentation.

    Student Services Support

    • Supports the management of Individual Education Plan (IEP) and Section 504 documentation and compliance processes.
    • Coordinates therapy services and Home and Hospital programs for students requiring special accommodations.
    • Assists in managing the Office of Student Services budget state and federal grants and Medicaid reimbursements.
    • Facilitates parent education and outreach activities to foster positive partnerships.

    Customer Service and Public Relations

    • Leads the department in establishing and executing customer service expectations for families and staff.
    • Creates effective communications with district leadership outside partners and community agencies such as the Colorado Department of Education.
    • Prepares for and supports the Student Services leadership team during events and meetings which may occur outside regular business hours.

    Project Facilitation/Design

    • Participates in strategic planning events (such as Innovation 2030) and coordinates department-wide professional development and staff training.
    • Manages special projects including cross-training of administrative staff and inter-departmental planning.

    Additional Qualifications:

    • Knowledge & Skills: Proficient in business English spelling and office procedures with a high degree of accuracy. Expertise in public relations and the ability to establish effective working relationships with the public.
    • Software Proficiency: Demonstrated expertise in Google Suite Microsoft Office Suite and other job-appropriate software (e.g. BoardDocs Smartsheet).
    • Mental Ability: Ability to perform difficult tasks within time constraints handle frequent interruptions and exercise independent judgment. Prefers a work environment requiring flexibility and a high tolerance for stress.
