Overview


The purpose of this role is to provide a wide range of efficient and effective professional and value adding executive and administrative support and service to senior members of the 17Capital London team. Through a highly proactive and organised approach you will be key in enabling senior team members to focus their time according to their business priorities.

Roles and Responsibilities



Diary management



Extensive diary management for all meetings and travel (including international)

Arrange all internal and external business meetings including applicable client supplier and third-party events and meetings business lunches team away days etc

Responsibility for event coordination such as logistics liaising with external providers technology catering communications agendas supporting documents notes and follow ups as required

Meet and greet clients and external visitors as and when required

responsible for logging all data (meetings calls) in the CRM system and for maintaining consistent data accuracy.



Travel management



Organise all aspects of travel & itinerary arrangements for when the senior executives travel

Co-ordinate visa requirements/foreign currency

Correspondence management



Regular liaison and develop relationships with clients and their executive support as appropriate to ease diary management e.g. relationships with recruiters suppliers clients third parties

Other



Expense management retaining paperwork and processing credit card statements and receipts

Secondary support to cover other EAs as and when required

Working with the senior executives direct reports arranging meetings as directed and approving holiday and absence requests when submitted

Support event management of Company events as and when required

Skillset required


Excellent organisational skills with the ability to plan and organise work and juggle conflicting priorities

Attention to detail in every aspect of work

Ability to cope under pressure and meet deadlines when required

A strong communicator both written and spoken

Ability to build and maintain successful relationships at all levels both internal and external

Ability to anaylse problems and identify potential solutions using strong judgement

Capable of identifying designing and delivering process efficiencies

Quick to identify issues and dependencies that might affect successful delivery of objectives utilising innovative and creative thinking to develop solutions.

Integrity trust and discretion and the handling of highly confidential and sensitive information

Have good level of professionalism and judgment

Good time management and prioritization including the ability to categorize work by urgency and impact

The ability to work with senior clients as you will be communicating with executive assistants and frequently include clients / LPs and GPs on emails etc

Knowledge/Experience


A strong track record of working with Senior Executives & their management team

Finance Legal or other Professional Services background preferred

Experience in client liaison including administration of events and client entertainment

Enhanced level of Microsoft Outlook Word & Powerpoint

The base salary for this position is expected to be between $85k $105k. Salaries may vary based on factors such as skills experience and qualifications for the role as determined by the Company at its sole discretion. The range listed reflects base salary only and the total compensation package may include other components such as discretionary incentive compensation.
