How the Executive Assistant I Membership contributes:

The Executive AssistantIMembershipis responsible forproviding administrative support to theVPMembershipandinitiatives ofthe marketing department including support fordentist leadership groups managed by the connectionsbalance a diverse set of priorities andmaintaina curious andproactive mindset are critical to success in this role.

Administrative& ProgramSupport
  • Providesa high level ofadministrative support toteams that report to the CMOincluding Membershipto include but not limitedto:composing letters and correspondence; scheduling appointments and meetings and preparing and organizing materialsneeded for each meeting; arranging travel; completing expense reimbursement forms; routing invoices for approval; and collecting and distributing mail.
  • Administersprograms and activities that supportmembershiprecruitment and retention programs including the CDA/TDIC IS Grant program andmembership recognition programs.
  • calendarsubmissions fromlocalsocieties.
  • Supportsdepartment budgets as neededon behalf of receipts and accounting codes to complete monthly expense report for the corporate credit card of the CMO and others.
  • Organizesdepartment meetings and annual team buildingeventand holidaylunch.
  • Partners with the CMO to build systems to track department priorities andidentifyopportunities to support working teams withprojecttrackingif/when improvements to increaseteamefficiencies.
  • Completes deliverables with a proactive hands-on approach;followsup with stakeholders as needed while consistently meeting deadlines andanticipatingneeds.
  • Maintainsmembershipdepartment recordsand processesincluding theComponentRoster Who Does WhatComponentExecutive DirectorBasecampLocal DentalSocietiesMarketing Toolkitandcoordinates onboarding/offboarding oflocal society executive directors.

BoardCommitteeand Local SocietyMeeting Supports
  • Coordinatesvolunteermeetings(CDAMembershipCommittee Board of Managers andStudent Delegation)with dutiesthat may includescheduling communication with board and committee members and/or staff preparation/distribution of meeting materials and minute taking/filing. Prepares correspondence and/or reports and coordinates meeting attendanceequipmentand catering needs.
  • Provides administrative support for localsocietyinformational calls andadditionalmeetings as needed.
  • Coordinates with governance staff to ensureboard and committees are functioning within the organizations bylaws and to supportsuccession planningand recruitment activities.

Cross-functional Collaboration& Relationship Building
  • Builds andmaintainsstrong working relationships with administrativeand committee/board supportstaff across the organization to share best practicesand as a backup for members of the admin team in other functional areas as needed.
  • Proactively connect with members of thedepartment tobuild a deep understanding of the work of the team; partner with marketingcoordinator(s) andspecialists toidentifyopportunities tosupport in high volume times ( Presents)and with department leaders toensuresupport is supporting department goals.

Minimum Qualifications:
  • High school diploma or GED
  • 5 years executive administrative support experience in a professional environment
  • Ability to providelogistical support to meetings and events.
  • Maintain strict confidentiality.
  • Excellent attention to detail is critical.
  • Ability to take initiative andanticipatedepartment needs.
  • Excellent interpersonalverbaland written communication skills.
  • Respond to changing situations in a flexible mannertomeet current needs.
  • Representsthe organization to external and internal audiences which requires judgment and the knowledge to handle tasks independently.
  • Demonstrate diplomacy and tact while interacting with all levels within and outside of the organization.
  • Perform job duties with little or no supervision exercising good judgment and professionalism.
  • Strong computer skills includingabilityto use Windows/ Microsoft Office to perform word processing preparespreadsheetsand prepare presentations.

Preferred Qualifications:
  • Bachelors degree
  • Familiarity and comfort with Internet searches and prior experience with basic database functionalities (search data-entry report generation).
  • Familiarity with volunteer governance structures andfor profitstructures.
  • Experience in a membership organizationand/or supporting a marketing department.
