Job Summary:

The Executive Assistant provides administrative support and project management for the Director of Philanthropic Engagement. The essential functions as shown below represent only the key areas of responsibility; specific position requirements will vary depending on the needs of the district.

Essential Functions and Responsibilities:

  1. Answer incoming calls field questions and initiate follow up communication.
  2. Manage the collection maintenance integrity and secure sharing of donor partnership and engagement data within the Microsoft Dynamics donor database ensuring accuracy timely updates and compliance with applicable state and federal laws.
  3. Coordinate and manage ongoing projects under the direction of the director including issuing and collecting donor/partnership contracts sending partnership surveys creating branded materials and assisting with community events.
  4. Compile and integrate data from multiple sources including district-specific systems to produce professional reports documents and presentations.
  5. Collaborate across district departments to collect and share data and update promotional materials.
  6. Support compliance with foundation and grant requirements to ensure funds are used appropriately and in accordance with established guidelines.
  7. Assistwith scheduling meetings sending communication and recording notes during meetings.
  8. Other duties as assigned.

Minimum Qualifications:

  • Education: High school diploma HiSET or G.E.D.
  • Work Experience: Five years of work experience in community engagement or customer service
  • Licensure or Certification: N/A

Knowledge Skills and Abilities:

  1. Ability to work a varied work schedule which includes eveningand/or weekendhours.
  2. Excellent customer service skills.
  3. Effective written and oral communication and presentation techniques.
  4. Ability to prioritize tasks manage time effectively and proven ability to meet deadlines.
  5. Attention to detail and accuracy.
  6. Ability towork independently or collaborate effectively within a team
  7. Proficient with Microsoft Office Suite Microsoft Dynamics or related software
  8. Maintain confidentiality.
