Event Coordinator Full-Time Hybrid

Position Summary

Shared Medical Services is seeking an organized and detail-oriented Event Coordinator to support the planning and execution of internal and external company events. This role is responsible for coordinating event logistics vendor relationships travel arrangements registrations materials management and on-site event support to ensure successful and professional event experiences.

Responsibilities

• Coordinate conferences trade shows meetings employee events and other company-sponsored functions.
• Manage event logistics including venues vendors catering travel shipping registration and event materials.
• Maintain event timelines calendars attendee lists and planning documents.
• Collaborate with internal teams and external partners to ensure event success.
• Track event expenses invoices and budgets.
• Manage event supplies booth assets signage and promotional materials.
• Provide on-site event support including setup troubleshooting and breakdown.
• Prepare post-event reports and feedback summaries.
• Travel as needed to support local and out-of-town events.

Qualifications

• Associate degree in Business Administration Communications Event Management or related field; or equivalent administrative experience.
• 24 years of experience in event coordination marketing support administrative support or a related role.
• Experience supporting conferences trade shows meetings or corporate events.
• Strong organizational communication and project management skills.
• Proficiency with Microsoft Office (Outlook Word Excel and PowerPoint).
• Experience coordinating vendors travel registrations and event logistics.
• Ability to manage multiple priorities and adapt in a fast-paced environment.
• Valid drivers license with a good driving record.
• Ability to work occasional evenings and weekends as needed.
