Job Summary

We are seeking an Event Coordinator to organize and support the planning and execution of company events promotional programs and marketing activities. This role is responsible for coordinating event details maintaining schedules organizing resources and helping ensure each event is delivered efficiently and professionally.

The Event Coordinator will work closely with marketing operations and other internal teams throughout the event process. This position is well suited for someone who is highly organized detail-oriented and comfortable managing multiple timelines and priorities.

Responsibilities

  • Coordinate the planning and execution of events and promotional activities
  • Develop and maintain event schedules timelines and planning documents
  • Coordinate event locations materials supplies and logistical requirements
  • Organize event setup breakdown and on-site operational needs
  • Maintain calendars and track important event deadlines and deliverables
  • Coordinate promotional materials and other resources needed for upcoming events
  • Communicate event details schedules and responsibilities to participating team members
  • Work with marketing and operations teams to ensure event requirements are completed on time
  • Coordinate with venues suppliers and service providers when applicable
  • Monitor event activities and address logistical needs during execution
  • Maintain organized records of event details participation and activities
  • Assist with tracking event expenses and resource requirements
  • Gather attendee feedback and other relevant information following events
  • Prepare basic event summaries and assist with post-event reporting
  • Identify opportunities to improve event organization and future execution
  • Support additional event marketing and promotional projects as needed


Requirements
  • Bachelors degree or 12 years of relevant professional experience
  • Strong organizational and project coordination skills
  • Excellent written and verbal communication abilities
  • Strong attention to detail and follow-through
  • Ability to manage multiple events deadlines and priorities
  • Strong time-management and problem-solving abilities
  • Comfortable coordinating with multiple teams and external contacts
  • Adaptable and able to respond professionally to changing event needs
  • Ability to work effectively both independently and as part of a team
  • Previous experience in event coordination hospitality marketing promotions project coordination or a related area is preferred
