Job Title: HR Operations I-9 Specialist (Temporary)

Schedule/Hours:

  • Training - Early August:20 hours/week
  • August 24late September:40 hours/week (full-time workload)

Position Summary

The HR Operations I-9 Specialist (Temporary) supports the universitys onboarding process by ensuring compliance with federal employment eligibility verification requirements. This position is responsible for conducting virtual and in-person Form I-9 appointments reviewing employment authorization documentation assisting new hires through the I-9 process and maintaining accurate confidential employee records. The ideal candidate is detail-oriented organized and committed to providing excellent customer service while ensuring compliance with federal regulations and university policies.

What you will be doing in this position

  • Conduct virtual and in-person Form I-9 appointments with newly hired employees in accordance with federal employment eligibility verification requirements.
  • Guide employees through the completion of Form I-9 ensuring Section 1 and Section 2 are completed accurately and within required timelines.
  • Examine employment authorization and identity documents for authenticity completeness and compliance with federal Form I-9 requirements.
  • Review completed Form I-9s for accuracy completeness and compliance identifying and correcting errors when appropriate.
  • Communicate professionally with new hires hiring departments and campus partners regarding I-9 requirements appointment scheduling and onboarding procedures.
  • Escalate complex documentation compliance concerns or employment eligibility issues to appropriate HR staff.
  • Support Social Security Number (SSN) validation processes by reviewing employee information for accuracy identifying discrepancies and partnering with HRIS or Payroll to resolve issues as needed.
  • Perform other HR Operations and onboarding duties as assigned.

What qualifies you for this role

  • Strong attention to detail with excellent organizational and time management skills.
  • Excellent written verbal and interpersonal communication skills.
  • Ability to manage confidential and sensitive information with professionalism and discretion.
  • Proficiency with Microsoft Office Suite email scheduling systems and online document management tools.
  • Ability to work independently while following established procedures and meeting deadlines.

Preferred Qualifications

  • Previous experience in human resources onboarding administrative support customer service or higher education.
  • Experience working with Form I-9 E-Verify HRIS or electronic onboarding systems.
  • Familiarity with federal employment eligibility verification requirements and I-9 compliance is preferred but not required.

Pay Grade: 45

Typical Starting Pay: $15.50-$19.25

The actual compensation offered will take into consideration internal equity and may vary based on the candidates job-related experience knowledge skills and other relevant factors. Candidates with very significant work-related experience may receive an offer higher than the posted typical range.
