Job Summary
InterDent is seeking a highly organized and detail-oriented Document Administrator to manage maintain and coordinate business documents and records across the organization. This position will support administrative teams by ensuring documents are accurately prepared properly categorized securely stored and readily accessible to authorized personnel.
The Document Administrator may work in a remote environment depending on business and position requirements. The successful candidate will collaborate with teams across multiple departments manage document workflows maintain accurate records and help ensure that administrative processes are completed efficiently and consistently.
Key Responsibilities
- Create organize update and maintain electronic and physical documents.
- Review documents for accuracy completeness formatting and consistency.
- Upload scan index and categorize documents within internal systems.
- Maintain organized document repositories and filing systems.
- Track document revisions approvals and retention requirements.
- Retrieve records and documentation in response to authorized internal requests.
- Identify missing outdated duplicate or incorrectly filed documents and coordinate corrections.
- Assist departments with document preparation formatting and distribution.
- Maintain confidentiality when handling patient employee financial and company information.
- Prepare document tracking reports and administrative summaries.
- Follow established policies for document security retention archiving and disposal.
- Communicate effectively with remote and onsite team members to coordinate document-related activities.
Requirements
- High school diploma or equivalent required; associate or bachelors degree preferred.
- Previous experience in document administration records management office administration data entry or a related field.
- Strong attention to detail and excellent organizational skills.
- Proficiency with Microsoft Word Excel Outlook and document-management systems.
- Excellent written and verbal communication skills.
- Ability to manage multiple documents and assignments while meeting deadlines.
- Strong understanding of file organization and document-control practices.
- Ability to handle confidential information with discretion.
- Comfortable working independently in a remote environment when applicable.

- Experience working in healthcare dental or other regulated environments.
