Job Summary
Primary Purpose:
To act as the accounting specialist for the Construction and Planning department. Providing clerical services managing office activities and records retention.
Education / Certification:
- College Diploma Preferred
- Accounting Degree or Equivalent Experience Preferred
Special Knowledge / Skills:
- Proficient skills in typing word processing and file maintenance.
- Ability to keep confidential information.
- Effective communication and interpersonal skills.
- Ability to make independent decisions.
- Ability to deal with the general public.
- Good organizational skills.
- Ability to use personal computer and software to develop spreadsheets databases word processing PowerPoint (including Microsoft Office Adobe Pro Microsoft Publisher and District Accounting Software.
- Ability to quickly learn new programs.
- General understanding of school bond programs.
Experience / Other Requirements:
- Three years of Clerical / office experience preferably in a public education environment.
- Accounting or bookkeeping experience is required.
- Experience in a Public Education environment is preferred.
Major Responsibilities and Duties:
- Responsible for all Department accounting including bond program purchase orders and invoicing.
- Answers incoming calls takes reliable messages and routes to appropriate staff.
- Receives sorts and distributes mail and other documents to Department staff.
- Creates proofreads copies files and distributes all correspondence for the Department to include memos letters and official documents.
- Orders supplies for the department.
- Prepares monthly budget/expense reports for the department.
- Assistance administrators on projects as needed.
- Communicates changes in policies and procedures.
- Keeps all assigned files documentation and forms current.
- Schedule appointments for department administrators.
- Responsible for properly maintaining district records adhering to all policies set forth by the district for records maintenance and learning the records retention schedule for departments records.
- Other duties as assigned.
