Role: Director Facilities OperationsReports to: Senior Director Facilities OperationsProgram: 9005-Operations/FacilitiesDepartment: FacilitiesLocation: Santa Monica and Downtown Los AngelesSchedule: Monday - Friday 6:30am - 3:00pmStatus:Full-time/Exempt/Management Benefits:Medical Vision Dental Life Insurance 403(b) Retirement plan Employee Assistance Program (EAP) :1Summary:Under the supervision of the Senior Director of Facilities Operations the Director of Facilities Operations will provide leadership to ensure that agency facilities and operations meet industry agency and funder standards. This position organizes administers and leads a comprehensive program of maintenance and custodial services in an effective manner ensuring that agency facilities grounds equipment and furnishings are well maintained so that staff clients funders and visitors experience a clean safe attractive and healthy environment. This position oversees maintenance janitorial staff and supervises the Facilities Maintenance ManagersEssential Duties and Responsibilities:Supervise coordinate and assist in the timely completion of all major repairs and facility rehabilitation including interior and exterior facility grounds buildings and equipmentEnsure that staff are adequately trained equipped and motivated so that all building maintenance can be accomplished in a safe timely and cost-effective mannerProvide an efficient work order system for repairs of facilities and equipment that ensures that all maintenance and repairs are completed within industry standardsDevelop and implement a schedule of regular evaluation and preventative maintenance/repair tasks of the facilities ensuring the safety of the buildings from fire flood and other hazards to include pest controlReview the operation and condition of electrical air conditioning plumbing and other essential systems and equipment on a continuous basis to minimize unplanned downtime and identify areas in need of improvementMaintain accurate records of the condition of systems equipment in all buildings and inspections; prepare monthly reports on facilities conditions and inspectionsProvide individual and team supervision support and performance evaluations for all assigned staffProvide regular project and work order status reports to supervisorEnsure compliance with applicable building and safety codes hazardous waste disposal OSHA hazardous materials in the development of policies and procedures that affect the use of supplies equipment and maintenanceIn coordination with supervisor work with outside contractors as needed provide budgetary oversight of program administration and ensure program revenue and expenses are within adopted annual budgetDevelop a custodial services plan for each building that outlines the tasks of and expectations for custodial employees indicating a detailed daily and periodic schedule for cleaning and basic facility repairsEnsure adherence to all partner agencies and other funding source contracts and performance standards along with all relevant laws regulations and agency accounting policies and proceduresResponsible for ordering and maintaining inventory of janitorial supplies and maintenance toolsBe available for emergencies after hours holidays and weekendsResponsible for creating and revising the staff Holiday schedule and revising as neededResponsible for ensuring that all submitted work orders in the UpKeep portal are assigned to staff and completed in a timely mannerCoordinate employee schedules always ensuring adequate coverage at all sitesHire train and manage a team of maintenance engineers and janitorial staff ensure that they adhere to all safety protocolsResponsible for the approval of staff timesheet vacation request and providing adequate coverage for sites due to staff call outs at any timeQualifications:High Scholl Diploma or EquivalentAble to be on-call 24/7Valid CA Drivers license reliable car auto insurance and an acceptable driving recordMinimum five (5) years experience as a Maintenance Supervisor in a commercial building or an equivalent combination of education and experienceExperience supervising staff and scheduling routine maintenance tasksExperience with commercial building maintenance including plumbing construction and structure repair routine electrical preventative maintenance tasks and HVACSome experience working with the homeless preferably those living with mental illness and/or substance addictionsAble to use computers for word processing data management and telecommunicationsEffective interpersonal communication skills and the ability to work effectively with a wide range of constituencies in a diverse communitySelf-starter with the ability to stay ahead of the curve and thrive in fast-paced work environmentExtensive knowledge of workplace safety and illness and injury prevention practicesPreferred Qualifications:Bilingual English and SpanishWork Environment:Field will need to travel outdoor and indoor office environmentWill walk and/or drive to different local sitesWill need frequently to stand reach lift bend kneel stoop climb push and pull items weighing 75 pounds or lessWill necessitate working in busy and loud environmentsWill be exposed to elements like cold heat dust noise and odor
