This position will support the Fort Worth Heart Challenge team and fundraising campaigns. Responsibilities include handling all finances maintaining databases generating reports and tracking expenses for the Heart Walk and related campaigns. Additional responsibilities include supporting Heart Walk directors with administrative tasks including customer service calendar coordination mailings and event support as needed.
This is an office-based position with a hybrid schedule. The office is in Fort Worth TX.

- Serve as lead on all data entry and finance management for the Heart Walk campaign.
- Provide administrative support through database management applying systems such as Excel Blackbaud Luminate and Salesforce.
- Prompt processing of financial documents and contracts; maintaining all associated records.
- Maintain the accuracy of financial and participant data.
- Prepare develop edit and maintain campaign materials including fundraising materials and sponsorship proposals.
- Track sponsorship payments benefits and activations
- Attend meetings and record meeting minutes. Arrange for meeting space room logistics meals and equipment.
- Assist the events team in coordinating the vendor contract process tracking vendors adherence to contractual obligations and performing as agreed upon. Assist with logistics for auxiliary events and virtual events.
- Oversee expenses and budget for each Heart Challenge campaign by working with the team. Monitor event budget. Coordinate and track invoicing expenses and peripheral accounts for events.
- Provide excellent customer service and timely communication with Heart Challenge companies volunteers and community members.
- Travel required as needed to events within Tarrant County and the surrounding service territory.
- Maintain and organize supplies for Heart Challenge campaigns and events.
- Other duties as assigned.
- High School Diploma/GED required.
- 3 years of prior administrative support experience in a related environment with knowledge and understanding of event or meeting management.
- Must have at least basic knowledge and skill/proficiency with Microsoft Office with a priority on Excel experience preferred.
- Experience in Canva Salesforce and Blackbaud Luminate preferred.
- Ability to work outside of standard hours which may involve some evenings and/or weekends.
- Ability and willingness to travel locally throughout the territory.
- Ability to lift and/or move large objects (such as boxes) with the expectation that heavier items would be broken down into smaller components or requesting additional assistance may be required before lifting and/or moving.
