Flad is a national architectural firm with ten offices looking to hire a Construction Administrative Assistant to work in our Madison WI office. This role will be responsible for a wide range of administrative functions supporting the Construction Administration division. Flad is a team of creative intelligent energetic people who help our clients tackle the issues that change peoples lives.

How will your days be spent

  • Coordinate and issue: Construction Bulletins Supplemental Instructions Proposal Requests Jobsite Observation Reports Transmittals Punchlists etc.
  • Check the group e-mail account on a rotating basis throughout the day and handle incoming work requests submittals Requests for Information (RFI)s etc.
  • Update appropriate construction websites (i.e. Procore Autodesk eBuilder ProjectSight BIM 360 etc.) with RFIs Submittals etc.
  • Receive log and route RFIs and submittals to internal/external team members for review/approval.

What you bring to this role

Experience:

  • Minimum 1 year of relevant experience required.
  • Knowledge of architectural terminology and standard AIA documents preferred.
  • Skilled at attention to detail and organization.
  • Ability to initiate a process and follow it to completion.
  • Availability during Flads business hours of 8:00 a.m. to 5:00 p.m. is required. Must be able to work in the Madison office Tuesday through Thursday each week.

Software Skills:

  • Basic Knowledge of Microsoft 365 (Word Excel and PowerPoint) required.
  • Proficiency in Adobe Acrobat preferred.

Education:

  • An Associate Degree from an Administrative Assistant program is preferred.
