POSITION SUMMARY:

This position supports the work of the YMCA of the RockiesSnow Mountain Ranch whichoperatesa mission-based family and group conference and retreatcenter and a residential campserving more primarily responsible forassistingconference and family reunion groups by providing information knowledge and support to ensure all conference services are delivered ina timely efficientprofessionaland ethical manner.

ESSENTIAL FUNCTIONS:

  • Assistgroup leaders with pre-conference planning managing groups according to contract and post-conference evaluation.
  • Collect and process conference related information including such things as contractual and lodging questions special needs requests contract changes and cancellations.
  • AssistConferenceseasonalstaffand international internswith administrative tasks that include creationof the weekly preconference spreadsheet group packets arrival reports and group dashboard.
  • Work withconference andguest registration staff toperform all tasks on the conference dailychecklist andcheck groups and guests in and out.
  • Act as a tactful liaison between group leaders Conference staff and other departments.
  • Assistin answering and routing calls that come in through the switchboard including emergency calls and follow up asappropriate.
  • Withassistancefrom the Front Deskmonitorand provideappropriate responseto fire panel trouble and fire alarms andThorguardlightning alert system.
  • Coordinate and lead groupleadertours of the property.
  • Learn to navigate and effectively use the property and conference management systems so thatstaff are prepared to meet the groups needs upon arrival and during their stay.
  • Accurately update and prepare invoices forgroups andassistwith taking payments.
  • Work effectively withFood Service staff toensure group meal counts areaccurateand coordinate catering and refreshment requests for assigned groups.
  • Work with gueststo resolve any issues that arise.
  • Provide Manager-On-Duty leadership as appropriate and as needed.
  • Attend scheduledpre-conference and staffmeetings.
  • Possess a valid USA state-issued drivers license an acceptable driving record andcomply withYMCA driving rules to be approved tooperateYMCA vehicles.

REQUIREMENTS/QUALIFICATIONS:

  • An associate orbachelors degree in business hotel management or related field or a minimumof one-yearexperience in the resort industry public relationssalesor a related field.
  • Ability to work flexible days including weekendsholidaysand evenings.
  • Shouldbe able tolift upto 30 pounds.
  • Demonstrate ability to speakreadand write fluently in English.

  • Administrative tasks will primarily be carried out in a fast-paced office environment;theofficeis extremely busy with many distractions.
  • Position requires the ability to occasionallyassistwith moving and setting up tableschairsand A/V equipment.
  • Ability to sit and stand get up and downfrequently and walk around during a work shift.
  • May need to sit orstand ata computer station forextendedperiodsof time.
