Clinic Coordinator Triangle Area

Read this part first. This is a floating role across all three of our Triangle clinics Raleigh Chapel Hill and Cary so reliable transportation and a willingness to drive between sites are required. You also must be fully available across our entire business week: Monday through Saturday from a 6:00 AM arrival through a 7:00 PM close. Shifts vary by day and location; this is not a fixed 9-to-5 and it isnt a role we can build around a limited availability window.

Clinic hours vary by location across the three our days run from a 6:00 AM arrival to a 7:00 PM close Monday through Saturday and youll need to be available for any of it. Youll get your schedule in advance so you always know which clinic youre at and when and well walk through what a typical week looks like during the interview.

Were hiring one Clinic Coordinator to float across all three of our Triangle clinics. This is the role that holds the place together: you run the day you know every patients name and youre the first face and the last voice they hear. Because youll work at Raleigh Chapel Hill and Cary youll get to know three teams and three patient bases and youll become the person everyone counts on. If you have a magnetic personality a gift for high-end customer service and you genuinely love watching people transform this is your seat.

Part front office part clinical all patient experience. Youll be rooming patients and taking vitals one minute and quoting fees or rescuing a scheduling jam the next. Training is provided on our systems and on clinical skills but youll need to be the kind of person who moves fast and doesnt drop things.

• Run daily clinic operations scheduling patient records documentation accuracy opening and closing and keeping the day on track

• Make outbound calls to patients every day appointment reminders no-show and missed-visit follow-ups re-engagement calls and check-ins on how people are doing. This is a core part of the job not an occasional task.

• Room and work up patients weigh in and take vital signs prepare new patients

• Document accurately in the EMR medical information prescribed medications and every patient interaction

• Be the patients advocate answer questions connect them with the provider and give the kind of personalized support that keeps people on plan

• Quote fees and collect payments confidently discuss program pricing handle transactions and support product and supplement sales

• Cheerlead patients through the hard weeks celebrate the wins follow up on the setbacks and keep them coming back

• Keep the clinic sharp clean stocked and ready every single day

• Support practice marketing and local outreach that brings new patients through the door

Must-haves

• A genuine passion for helping people get healthy this is the non-negotiable

• Experience in a medical office ideally an elective or high-end setting (med spa aesthetics concierge or physicians office)

• Comfort and confidence on the phone youre not afraid to pick it up and call a patient

• The ability to thrive in a fast-paced clinic: back-to-back patients shifting priorities multitasking without dropping the ball

• Outstanding written and verbal communication and a polished professional presence

• Strong organization attention to detail and consistent follow-through

• Proficiency in Microsoft Word and Excel and comfort learning an EMR system

• Comfort discussing program pricing and collecting payment

• Full availability across all of our business hours Monday through Saturday 6:00 AM arrival through 7:00 PM close. Shifts vary by day and clinic.

• Willingness and ability to work at all three clinics Raleigh Chapel Hill and Cary with a valid drivers license and reliable transportation

• Punctual and dependable

• High school diploma or equivalent

• Willingness to complete a background check in accordance with applicable laws

Nice-to-haves (well train the right person)

• Medical Assistant experience or certification (CMA/RMA)

• Experience taking vitals assisting with procedures or phlebotomy

• Front-office leadership or clinic supervisor experience

• Background in weight loss wellness med spa aesthetics or primary care

• Prior experience with patient outreach calls membership sales or retail/product sales

• Knowledge of nutrition and exercise fundamentals

• Starting pay of $18.00/hour with room above that based on experience
