You are an experienced Client Service Associate who is excited to join a close-knit collaborative team and play an important role in delivering an exceptional client experience. You take pride in building and maintaining strong client relationships and understand that even the smallest details can make a meaningful difference. From handling service requests and opening accounts to coordinating client meetings and managing day-to-day communications you approach your work with a service-first mindset and a high level of accuracy and efficiency. You are organized detail-oriented and comfortable navigating the systems technology and processes that keep the firm running smoothly. You enjoy learning new tools and finding better ways to get things done. You are proactive naturally curious and always looking for opportunities to improve whether that means anticipating a clients needs or taking something off the advisory teams plate so they can remain focused on serving clients. Above all you take ownership of your work and care deeply about creating a personalized experience that makes every client feel like they are your only client.
Main responsibilities for the position include:
- Communicate process and follow up with clients on various service needs including general questions applications retirement distributions and withdrawal requests beneficiary changes and other requests following all items through to completion
- Coordinate with the advisors and clients to complete and process new account paperwork checks transfers contributions and keep client accounts in good standing
- Conduct three-way 401(k) rollover calls with clients and custodians
- Support the advisory team with scheduling client review meeting preparation post-meeting action items and ongoing communication to keep clients and advisors up to date
- Create and maintain accurate client records in the CRM system (Wealthbox) ensuring all confidential and required information is securely stored
- Monitor and streamline workflows for client service and business operations tasks
- Answer screen and route phone calls assisting clients directly where possible or taking messages for other team members as appropriate
- Deliver superior client service; troubleshoot problems and serve as liaison between advisors and clients as needed
- Communicate with the custodian and other vendors as needed
- Follow manage and monitor task list effectively prioritizing time-sensitive requests or issues
- Support client appreciation efforts including assisting with client events and coordinating gifts letters and other client touchpoints
- Other special projects and additional responsibilities will occur from time to time
The ideal candidate:
- Bachelors degree highly preferred or equivalent work experience
- 3-5 years of experience required; ideally in an RIA environment supporting one or more financial advisors
- Knowledge of industry-specific software and systems required; familiarity with Altruist (or similar custodian such as Fidelity or Schwab) Wealthbox and RightCapital highly preferred
- Tech-savvy and highly proficient in Microsoft Office suite; strong ability to learn and apply new software quickly
- A commitment to excellence; detail-oriented client-focused and highly organized
- Excellent interpersonal and communication skills; ability to communicate in a pleasant tactful and effective manner (both orally and in writing) and to handle difficult sensitive issues
- Strong time management skills; ability to prioritize and coordinate multiple work assignments and deadline efficiently despite frequent interruptions
- Proactive team player able to work in a fast-paced environment
