Job Summary

We are seeking a detail-oriented and organized Clerical Support Specialist to provide administrative and clerical assistance in a state agency environment. This role will support daily office operations maintain records and filing systems process documents and forms handle correspondence and respond to inquiries from internal and external stakeholders.

The ideal candidate will have strong organizational and communication skills excellent attention to detail and the ability to manage multiple priorities and large volumes of documentation while maintaining accuracy and confidentiality.

Key Responsibilities
  • Respond professionally and courteously to telephone mail and electronic inquiries from attorneys paralegals state agencies and other contacts.
  • Retrieve information from electronic and physical filing systems and provide accurate responses to inquiries.
  • Provide administrative and clerical support to magistrates handling Rate Setting cases.
  • Process organize scan fax photocopy and file large volumes of documents and records.
  • Receive sort stamp process and distribute incoming and outgoing mail.
  • Maintain accurate records forms files correspondence and other administrative documentation.
  • Assist with records management and ensure documents are properly organized and accessible.
  • Communicate effectively with individuals at various organizational levels and with diverse backgrounds.
  • Support day-to-day office operations and complete assigned clerical tasks accurately and efficiently.
  • Maintain confidentiality when handling sensitive records and information.
  • Follow established administrative procedures policies and documentation standards.
  • Perform other clerical and administrative duties as assigned.
Required Qualifications
  • High School Diploma or equivalent.
  • Four years of secretarial administrative clerical or related experience or an equivalent combination of education and experience.
  • Strong written and verbal communication skills.
  • Excellent organizational and time-management abilities.
  • Proficiency with Microsoft Office particularly Microsoft Word and Excel.
  • Strong attention to detail and accuracy.
  • Ability to manage multiple tasks and work with high volumes of documents.
  • Ability to work independently and collaboratively as part of a team.
  • Professional demeanor strong work ethic and sound judgment.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
Preferred Qualifications
  • Experience as a Legal Assistant Paralegal Court Clerk or Court Employee.
  • Previous experience in a legal court government or state agency environment.
  • Familiarity with records management document processing and filing systems.
  • Experience handling confidential or sensitive documentation.
  • Experience communicating with attorneys government agencies or other professional stakeholders.
