Clerical Assistant I

Are you a highly organized customer-focused professional who enjoys working in a fast-paced environment We are seeking a detail-oriented Clerical Assistant I to provide essential administrative and customer service support for our Selection Center operations.

In this role you will serve as a key point of contact for students employees and community members assisting with scheduling testing administration fingerprinting services records management inventory control and general office operations.

The ideal candidate is a strong communicator who can manage multiple priorities while maintaining accuracy professionalism and confidentiality.

QUALIFICATIONS KNOWLEDGE AND SKILL REQUIREMENTS:

The qualifications and skill requirements of this position include

  • Associates degree from an accredited institution or three (3) years of directly related clerical office experience;
  • Proven work experience in all clerical duties including telephone etiquette;
  • Ability to work with employees and a diverse student population in a busy setting;
  • Excellent verbal and written communication skills;
  • Good interpersonal and organizational skills;
  • Ability to prioritize tasks with careful attention to detail;
  • Ability to work with records in a timely efficient and confidential manner;
  • Proven experience with Microsoft Office and Adobe Acrobat based applications to include the ability to operate a variety of office machines;
  • Ability to respond appropriately to the needs of College personnel students and the general public;
  • Active Florida Notary Public preferred.

ESSENTIAL JOB FUNCTIONS AND RESPONSIBILITIES:

The essential job functions and responsibilities for this position include but are not limited to:

  • Providing general clerical assistance to the Selection Center Staff;
  • Greeting clients;
  • Providing services pursuant to client need.
  • Providing general information regarding the Selection Center services to employees students and community members;
  • Answering telephones;
  • Purchasing NFSI and Integrity Tests from vendor and maintaining appropriate inventories;
  • Administering the Integrity Inventory test and extrapolating results for the Selection Center Coordinators review;
  • Administering NFSI tests and provide results to candidates;
  • Monitoring accounts payable and accounts receivable for the Selection Center Fund III;
  • Ordering office supplies and maintain appropriate inventories;
  • Scheduling appointments for fingerprints Comprehensive Interviews CVSAs and testing;
  • Maintaining/Updating the Selection Center website;
  • Maintaining/Updating Selection Center Policies and Procedures and all corresponding documents;
  • Maintaining/Updating courses in the Go Sign Me Up web application;
  • Preparing and maintaining various Selection Center Excel files;
  • Audit prospective students file/application to ensure IRSC/FDLE requirements are met;
  • Managing tasks related to the outer office.

SPECIFIC DUTIES AND RESPONSIBILITIES:

The specific duties and responsibilities for this position include but are not limited to:

Fingerprinting; Administering Pearson Vue tests; Billing college departments for fingerprinting; Filing Selection Center forms; Providing information on programs; Completing other duties and responsibilities assigned by the Selection Center Coordinator or Director.

PHYSICAL REQUIREMENTS:

This position requires an ability to sit stand walk bend lift reach up stoop and carry items occasionally in excess of twenty-five (25) pounds. It also requires manual dexterity to operate standard office machines such as copier fax calculator telephone and other equipment as necessary. IRSC expects its employees to follow proper safety standards while employed by the College.
