GENERAL DESCRIPTION:


Join the Department of Fire Prevention & Electrical Safety in Cheyenne as our Office Manager & Budget Specialist. In a small agency you arent just a numberyoure a core leader whose financial oversight and daily coordination directly support our team and keep our state safe.

This position will be responsible for the agencys budget and accounting practices. This position manages the dailyoperations of the accountant and administrative support staff within the agency. This position is required to know andmanage the agencys budget from start to addition this position serves as an assistant to the Director providessupport of the agencys strategic plan works within the agencys record management and license management systems.

ESSENTIAL FUNCTIONS: The listed functions are illustrative only and are not intended to describe every function which may be performed at the job level.


  • Responsible for the agencys budget and fiscal monitoring including the development and oversight of the Departments annual assessments to fund the budget.
  • Develops and implements policies and procedures for the agencys accountant and administrative support staff.
  • Participates in strategic planning and documents the progress of the agencys strategic goals.
  • Performs research and analyzes data.
  • Manages and oversees all Accounts Payable Accounts Receivable Grants and Fixed Assets functions for the agency.
  • Performs as agency purchasing agent.
  • Manages agency records and archiving.
  • Monitors budgetand provides approval of monthly expenditures.
  • Assists the agencys HR representative in the employee onboarding process.
  • Maintains the agencys policies and procedures.
  • Manages major projects and initiatives.
  • Coordinates facilities and maintenance functions.
  • Assigns logs track the progress of and disseminates information.
  • Coordinates travel and meetings.

Qualifications


PREFERENCES:


Preference will be given to applicants with state budget and accounting experience.


KNOWLEDGE:


  • Knowledgeofstatebudgetsystems andprocesses.(IBARS)
  • Knowledgeofstateaccountingsystemsandprocesses(WOLFS).
  • Knowledge of federal state and local statutes laws and ordinances.
  • Knowledge of management supervisory and organizational techniques.
  • Knowledge of fundamental principles concepts practices of accounting Federal regulations and State personnel Rules and policies affecting payroll procedure.


MINIMUM QUALIFICATIONS:

Education:
Bachelors Degree (typically in Business)
Experience:
0-3 years of progressive work experience (typically in Business) with acquired knowledge at the level of a Business Office Coordinator I
OR
Education & ExperienceSubstitution:
4-6 years of progressive work experience (typically in Business) with acquired knowledge at the level of a Business Office Coordinator I
