Position Summary
Provides ongoing assistance to the Sales and Service team as well as assistance to agents prospective clients and customers by phone and in person for the purpose of providing administrative support necessary to meet sales and service objectives. This is a FT WFH position.

Pay Range

$19.43 - $21.86 annually (depending on experience). Actual pay is based on qualifications. Applicants who do not exceed the minimum qualifications will only be eligible for the low end of the pay range.

Required Skills Experience & Education:

  1. At least 1 year office experience preferably in health insurance and/or employee benefits/administration field and/or sales and account management practice.
  2. Computer proficiency with Microsoft Office applications (Word Excel Power Point).
  3. Typing ability of 35 wpm net.
  4. Working knowledge of COBRA Flexible Spending Accounts Health Reimbursement Accounts and Health Savings Accounts.
  5. Strong verbal written and customer service skills.
  6. Ability to work well under pressure with frequent interruptions and shifting priorities.
  7. Proven ability to execute group implementations.
  8. Strong organizational and detailed orientation skills.
  9. Strong verbal written and interpersonal communication skills.
  10. Maintain confidentiality and project a professional business image.
  11. Ability to come into work on time and daily.
  12. Ability to be a self-motivator and work independently with little or no supervision.

Primary Functions:

  1. Supports Sales and Service objectives by preparing accompanying materials for the Account Managers as needed
  2. Prepares renewal rate spreadsheets renewal letters and ensures letters are sent within the advance notice time frame as outlined in contract.
  3. Prepare contracts contract amendments and contact sheets for the Account Management team
  4. Processes renewal term and change group applications
  5. Prepares monthly and quarterly performance guarantee reports
  6. Prepares monthly sales reporting
  7. Prepares internal and external correspondence for Sales and Services team as assigned. Communicates with brokers on behalf of the Sales and Service team as needed.
  8. Acts as a liaison between various internal departments and the Account Manager when they are out of the office.
  9. Answering Sales and Service phone line
  10. Completes and submits appropriate Group Applications for account and plan setup within five business days to ensure external timelines are met and or exceeded.
  11. Updates employer contacts and brokers within COBRAPoint
  12. Update account contact and contract information in Sales Force
  13. Inbox triage of group Sales team inboxes. Responds timely to high volume of emails and phone calls from external and internal clients; Provides excellent customer service.
  14. Prepares Welcome/Enrollment packets and group administrative kits on as needed basis.
  15. Provides training and support for temporary staff or internal staff that assist with renewals during fourth quarter
  16. Assist with employer password resets and employer education and troubleshooting.
  17. Run reports for agents clients and the Sales and Service team as requested.
  18. Acts as a liaison between various internal departments and both the Sales & Service representative when they are out in the field.
  19. Support sales and service objectives by preparing accompanying sales and service materials for the representatives.
  20. Maintain and manage updates of external forms and marketing materials.
  21. Updates P&Ps; writes new ones as new procedures are added.
  22. Maintains team Sharepoint site and flyer repository.
  23. Manage contact sheet changes.
  24. Manage new POP groups: invoicing and POP kit delivery.
  25. Annual auditing of Salesforce materials and more as requested.
  26. Perform other duties as assigned.


Working Conditions &Contact with Others

  • Office environment with extensive close PC and keyboard work constant sitting and phone work. Must be able to navigate multiple screens. Must be able to travel and to work with challenging clients. Work in excess of 37.5 hours per week including evenings and occasional weekends to meet business need.
  • Internally within Sales and Service department Membership Accounting Customer Service Business Implementation Unit Accounting Marketing and other departments as needed. Externally with Agents Brokers Consultants and Group Administrators and Vendor Partners.
