Main Purpose of Job

This position serves as an Administrative Specialist III in the Deceased Processing Unit. The incumbent reports to the Death Benefits & Refund Processing Supervisor. Primary responsibilities include the timely creation of deceased retiree payment folders upon notification of retiree deaths preparing transactions to stop future payments and to recover payments issued after death. Timely and accurate processing of transactions related to these processes are essential elements in aiding the Agency in meeting the objective of our Mission Statement which is to effectively communicate to participants and employers information about benefits provided by the System.

POSITION DUTIES

Duties include but are not limited to:

Preparation of initial and follow-up claimpackets for deceased retirees.
Upon notification of retireedeath prepare deceased retiree payment folder via the established includes preparation of retirementtransactions retrieval of imagedhistorical documents recovery of payments issued after retiree death preparationand mailing of claim packages and update of the deceased database. Prepare andmail follow-up claim packets per established procedures.

Incomingcorrespondence and mail.
Respond in a timely manner toincoming correspondence concerningdeceased accounts from beneficiaries and/orother third parties and returndeficient forms in a timely manner to expediteprocessing of deceasedbenefit payments. Files must be updated daily forincoming mail and the recovery of payments issued after the retirees death.

Prepare necessary forms and transactions forpending status accounts.
Prepare necessary forms andtransactions for pending status transactions to reviseretirement accounts stop payment andreplacement authorization forms andRIMTs for personal checks/moneyorders received by the Agency for repayment offunds issued after retirees death.

Answer incoming telephone calls from theInteractive Voice Response system.
Answer incoming telephones callsregarding the death of members formermembers and retirees. This includesworking an alternate schedule asrequired. Telephone coverage is continuous forthe entire assigned period(full day or selected hours); absence from the workstationduring this time must be reported to the Unit Supervisor. of initial andfollow-up claim packetsfor deceased retirees.

Other duties as assigned.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Two years of experience performing administrative staff clerical clerical technical or secretarial work.

Notes:

1. Candidates may substitute 30 college credit hours from an accredited college or university for each year of the required experience.

2. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer involving staff work requiring regular use of independent judgment and analysis in applying and interpreting rules and regulations in accordance with agency laws and policies on a year-for-year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

Preferred Qualifications:

1)Atleast 6 months experience using Microsoft Office Suite including Word Exceland Outlook.

2)Atleast 6 months of customer service experience including answering phonesmailing letters and working directly with customers.

3)Strongverbal and written communication skills.

SELECTION PROCESS

EXAMINATION PROCESS

The examination will consist of a rating of your education training and experience as presented on your application and as they relate to the requirements of the position. You may be asked to complete a supplemental questionnaire. The supplemental questionnaire may be used as part of the rating process. Therefore it is important that you provide complete and accurate information on your application.

BENEFITS

Contractual employees who work for an agency covered under the State Employee and Retiree Health and Welfare Benefits Program have a current employment contract and work 30 or more hours a week (or on average 130 hours per month) may be eligible for subsidized health benefits coverage for themselves and their dependents. As a contractual employee you will be responsible for paying 25% of the premiums for your medical and prescription coverage including any eligible dependents you have enrolled. The State of Maryland will subsidize the remaining 75% of the cost for these benefits. You can also elect to enroll in dental coverage accidental death and dismemberment insurance and life insurance but will be responsible to pay the full premium for these benefits.

Leave may be granted to a contractual employee at a rate of one hour for every 30 hours worked not to exceed 40 hours per calendar year.
