We are looking for a Benefits Administration Coordinator to join our Employee Benefits team on a Hybrid work schedule.
Overview:
Responsible for monitoring the day-to-day flow of benefits administration requests from HUB clients for enrollments /changes /terminations supporting group benefits (health dental vision etc.). Provide customer service to clients HR and support staff while continually improving existing workflow processes and associated documentation in accordance with the practices policies and procedures that support this role.
Responsibilities:
- Coordinate daily benefits processing and open enrollment. Handle workflow of enrollments terminations changes working with HUB staff processing team and insurance carriers.
- Serve as point of contact for clients plan vendors and processing team. Research client inquiries regarding enrollment status.
- Perform escalations with carriers follow through track status updates until resolved.
- Participate in evaluation and revision of internal processes to reduce costs and increase efficiency. Assist in testing and implementation of new partner vendors.
- Document and maintain instructions for benefit enrollment processes. Oversee maintenance of database and client records.
- Ensure compliance with applicable government regulations; stay current with revisions.
- Ensure timeliness and accuracy of required deliverables.
- Obtain and update carrier portal access.
- Perform internal utilization analysis using vendor-provided reports and transaction records.
- Assist with department projects such as technology updates onboarding new partner vendors and training users.
- Other responsibilities as assigned by Manager.
Qualifications:
- Two years of related experience in employee benefits payroll or other applicable experience.
- Ability to articulate complex problems to a variety of staff with various levels of proficiency in employee benefits (beginners to seasoned professionals).
- Working knowledge of all pertinent federal and state regulations affecting employee benefits programs and eligibility: Affordable Care Act (ACA) compliance requirements COBRA life events leave of absence Medicare and DOL requirements.
- Knowledge of procedures for transfer of enrollment data to various systems and carriers. Understanding of audit procedures using data comparison tools (excelVLookup and AI tools). Prepare collect and organize data for assessments and filetransfers
- Strong analytical skills and a thorough knowledge of employee benefits and the life cycle of eligibility (new hire/changes/termination).
- Computer proficiency and technical aptitude with Microsoft Office products online meeting applications (such as MSTeams); knowledge of HRIS and payroll system functions. Preferred experience: enrollment platforms (such as Employee Navigator Rippling) shared project management software (such asSharepoint).
- Effective planning and priority setting. Ability to manage several projects simultaneously while working with target deadlines.
- High attention to fine details of incoming and outgoing work.
- Proven ability to work effectively in a team environment and demonstrate individual accountability.
