Job Summary

The purpose of this position is to provide office reception and administrative support to the operations within Beach Building Services in a variety of office clerical and administrative support functions. This position is responsible for coordinating a wide range of administrative functions that ensure smooth day-to-day office operations. Provides direct support to the Director of Business Operations.

Key Responsibilities
  • Manages calendar for Director of Business Operations. Complete and carryout special projects/tasks as assigned.
  • Requests and monitors service of office equipment. Serves as main point of contact for supply orders for Admin office. Ensures stock of office supplies are maintained; maintains various office logs; tracks and submits Copier reports.
  • Provide fiscal support in tracking procurement maintaining P-Card processing invoices. Plans documents and reconciles travel for BBS administration.
  • Point of contact and main organizer of BBS and campus supported events.
  • Assists Payroll and Personnel administratively with basic office duties such as filing organizing scanning documents interview scheduling and print shop orders.

Compensation

Salary placement is determined by the education experience and qualifications the candidate brings to the position internal equity and the hiring departments fiscal resources.

  • CSU Classification Salary Range: The CSU Classification Salary Range for this position is $2183.50 (Step 1) - $3181 (Step 20) per month.

Knowledge Skills and Abilities

The ideal candidate possesses a strong working knowledge of applicable university infrastructure policies and procedures along with thorough expertise in grammar spelling punctuation and office methods practices and procedures. They demonstrate a customer-focused approach with a solid understanding of customer service principles and the interpersonal and problem-solving skills needed to effectively support both internal and external stakeholders. Proficiency in standard office software applications including word processing spreadsheets and email is essential as is the ability to quickly learn independently interpret and apply complex policies and procedures while recognizing and addressing deviations when they arise. The ideal candidate can identify and resolve routine issues independently exercise sound judgment discretion and initiative when addressing more complex matters and develop practical thorough and creative solutions as needed. They are highly skilled in written communication with the ability to prepare clear concise and professional correspondence and possess the demonstrated ability to understand interpret and effectively communicate policies procedures information ideas and instructions to a variety of audiences.

Ability to communicate with an ethnically and culturally diverse campus community. Ability to follow all university policies procedures and guidelines including but not limited to safety civility information security and non-discrimination policies and procedures. Ability to contribute to a positive university experience for each and every student and assist in achieving the universitys commitment to a vision of excellence.

Education and Experience

Equivalent to five years of administrative support experience required.

Appropriate experience to be proficient in performing most or all work assignments as defined in the position description preferred.
