Job Summary

We are seeking a highly organized and detail-oriented individual to join our team as an Automotive Office Manager. Responsibilities

Administrative Management

  • Oversee day-to-day administrative tasks including managing schedules coordinating meetings and handling correspondence.
  • Maintain office systems such as filing record-keeping and document management ensuring accuracy and efficiency.
  • Monitor inventory of office supplies and equipment replenishing as necessary.
  • Develop and implement office policies and procedures to improve operational efficiency.

Financial Management

  • Handle accounts payable and receivable including invoicing billing and collections.
  • Prepare financial reports and budgets analyzing data to identify trends and areas for improvement.
  • Work closely with the accounting department to ensure accuracy and compliance with financial regulations.
  • Manage payroll processes and employee compensation including timekeeping and benefits administration..

Human Resources

  • Assist with recruiting hiring and onboarding new employees conducting interviews and orientation sessions as needed.
  • Maintain employee records and ensure compliance with HR policies and procedures.
  • Support employee development initiatives such as training programs and performance evaluations.
  • Handle employee relations matters including conflict resolution and disciplinary actions.

Vendor Management

  • Negotiate contracts and agreements with vendors and service providers seeking cost-effective solutions.
  • Maintain relationships with vendors monitoring performance and resolving issues as needed.
  • Review and approve invoices and payments to vendors ensuring accuracy and timeliness.

Qualifications

  • Bachelors degree in Business Administration Finance or a related field preferred.
  • Proven experience in office management preferably in the automotive industry.
  • Strong organizational and multitasking skills with the ability to prioritize tasks effectively.
  • Excellent communication and interpersonal abilities with a customer-focused approach.
  • Proficiency in Microsoft Office Suite and other relevant software applications.
  • Knowledge of accounting principles and financial management practices.
  • Familiarity with HR policies and procedures including employment laws and regulations.
  • Attention to detail and a commitment to accuracy and quality.
  • Leadership skills with the ability to motivate and inspire a team.
