Overview

The Authorization Specialist Team Lead is responsible for overseeing the daily operations of the authorization team ensuring timely and accurate processing of medical service authorizations. This role combines leadership responsibilities with hands-on work supporting the team in navigating payer requirements improving workflow efficiency and upholding compliance with healthcare regulations and organizational policies.

Responsibilities

Team Leadership & Supervision:

Supervise and coordinate the daily activities of a team of Authorization Specialists.

Provide guidance training and performance feedback to team members.

Monitor individual and team performance metrics and address areas for improvement.

Serve as the primary point of contact for escalated issues and complex cases.

Operational Management:

Ensure timely submission and follow-up of prior authorizations and referrals.

Maintain up-to-date knowledge of payer policies clinical guidelines and authorization protocols.

Collaborate with clinical teams scheduling staff and billing departments to support seamless patient access and revenue cycle operations.

Process Improvement:

Identify bottlenecks and implement process enhancements to improve efficiency and accuracy.

Develop and update standard operating procedures (SOPs) and ensure staff adherence.

Participate in audits and support compliance with HIPAA and other regulatory standards.

Reporting & Communication:

Generate regular reports on authorization status denial trends turnaround times and team productivity.

Communicate effectively with internal stakeholders and payers to resolve delays or denials.

Facilitate regular team meetings and contribute to departmental planning.

Qualifications
  • High school diploma or equivalent required.
  • Associate or Bachelors degree in healthcare administration business or a related field preferred.
  • 35 years of experience in medical authorizations billing or healthcare administration.
  • 12 years of experience in a supervisory or lead role is highly preferred.
  • In-depth understanding of payer authorization processes and healthcare terminology.
  • Strong leadership problem-solving and organizational skills.
  • Excellent verbal and written communication abilities.
  • Proficiency in EMR/EHR systems and medical billing software.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Travel up to 25%
