Associate Representative, Event Management (Temporary Assignment)

Job Summary
JOB SUMMARY:
Responsible for supporting the planning and execution of daily Youth programs while assisting Event Managers with larger more complex programs. This position is designed to develop and build foundational event management skills within a dynamic theme park environment through hands- on experience cross-functional collaboration and exposure to a variety of youth- focused programs and events. Coordinates assigned program logistics timelines and on-site execution to deliver exceptional guest experiences and operational excellence across Universal Orlando Resort including Universal Studios Florida Islands of Adventure CityWalk Volcano Bay and Epic Universe.
Supports a diverse client portfolio including Travel Planners Group Direct clients Educators Youth Sports Associations Charitable Organizations and Universal Orlando Sales Channels. Assists with the execution of educational workshops performance-based events academic and career-connected learning experiences Youth Consumer Marquee events such as Grad Bash and RTU as well as smaller festivals and awards programs. Provides operational support for education programs Volcano Bay transportation coordination performance and parade logistics inventory management and other event-related functions. The ideal candidate is highly organized detail-oriented adaptable and eager to build foundational event management skills in a fast-paced team-oriented environment.
MAJOR RESPONSIBILITIES:
- Support the execution of Youth programs and events while assisting Event Managers with larger more complex events. Serve as a point of contact for assigned event clients and internal partners helping communicate event details and ensure program requirements are understood and executed. Demonstrate flexibility in a fast-paced environment requiring timely responses to clients guests and internal partners. Contribute to maintaining positive client relationships by providing professional timely and responsive communication that supports overall client satisfaction strong CSAT results positive guest experiences and repeat business opportunities.
- Maintain accurate event records and documentation including event calendars prospectuses itineraries timelines confirmations operational documents Salesforce updates. Finalize event details and distribute written confirmations to clients and internal partners to ensure alignment and operational readiness. Contribute in post-event recaps to identify successes and opportunities for improvement. Support departmental initiatives process improvements special projects and the adoption of new tools and technologies while continuing to develop event management knowledge and skills.
- Collaborate with internal teams including Entertainment Catering Resort Operations Sales and other partners to support successful event execution. Coordinate logistical details for daily programs and smaller events. Identify operational concerns and communicate them to leadership while assisting with implementation of solutions. Support on-site event operations and guest experience initiatives to ensure events are executed safely and effectively.
- Assist with financial and operational program management by supporting budget tracking for daily Youth programs reviewing and processing Entertainment GIGs and monitoring inventory levels supplies and equipment to ensure program readiness.
- Understand and actively participate in Environmental Health & Safety responsibilities by following established UO policy procedures training and team member involvement activities.

EDUCATION:
- Bachelors degree in Event Management or related field.
EXPERIENCE:
- 1 years: overall experience in event planning and/VIP experience required.
- Theme Park experience preferred and UO product knowledge is preferred. Equivalent combination of education and experience.
ADDITIONAL INFORMATION:
Working knowledge of Universal Orlando Resort venues and operations. Demonstrates professionalism and diplomacy when interacting with clients internal partners and event stakeholders. Strong verbal and written communication skills with the ability to effectively collaborate across operating departments to support successful event execution and exceptional guest experiences.
