Description

The Harker School is seeking a temporary part-time Assistant to College Counseling to support the day-to-day administrative and organizational needs of the College Counseling Office.

This position will start as soon as possible and continue through January 29 2027 working the following schedule:

  • Thursday: 8:00 a.m. 5:00 p.m.

  • Friday: 8:00 a.m. 2:00 p.m.

The Assistant to College Counseling provides essential support to students families counselors faculty and visiting college representatives. This role serves as a key point of contact for the office and helps coordinate scheduling communications records events and other logistics associated with the college counseling and application process.

This is a temporary non-exempt staff position reporting to the Director of College Counseling.



Qualifications
Essential Duties and Responsibilities
  • Greet and assist students parents college representatives and other visitors to the College Counseling Office

  • Respond to general phone and email inquiries in a timely and professional manner

  • Schedule and coordinate student and family appointments college representative visits information sessions and other meetings

  • Maintain and coordinate office calendars and scheduling

  • Assist college counselors with meeting preparation correspondence mailings and event logistics

  • Support administrative workflows associated with the college application process

  • Maintain organized and accurate student records and office documentation

  • Manage office supplies and assist with general office organization

  • Provide administrative and logistical support during high-volume periods particularly during the fall college application season

  • Maintain strict confidentiality and exercise discretion when handling student academic personal and family information

  • Perform other administrative duties as assigned in support of the College Counseling Office

Required Knowledge Skills and Abilities
  • Strong organizational and time-management skills with excellent attention to detail

  • Ability to effectively manage multiple priorities and competing deadlines in a fast-paced environment

  • Excellent written and verbal communication skills

  • High proficiency in Microsoft Office and Google Workspace applications

  • Comfort working with database CRM and other technology-based systems

  • Strong technical analytical and troubleshooting skills

  • Self-motivated and able to work independently while exercising sound judgment and initiative

  • Strong collaborative mindset with a commitment to continuous improvement and providing an excellent experience for students and families

  • Genuine interest in and enjoyment of working with adolescents and their families

  • Patient empathetic and composed when assisting individuals during stressful or high-pressure situations

  • Demonstrated sound judgment and discretion when working with confidential and sensitive information

Physical Demands

While performing the duties of this position the employee frequently sits for extended periods of time. The position may also require reaching lifting finger dexterity grasping repetitive motions talking hearing and visual acuity.

Compensation:

Pay for this position is determined according to The Harker Schools establishedpay scaleand is based on relevant education and experience as evaluated by the Human Resources Department. The posted pay range reflects the full pay scale for this position. While the maximum rate is included for transparency most new hires can expect to fall within the lower to middle portion of the pay scale based on their qualifications and experience.
