Job Summary

Job Description Summary
Supports the Campus Planning and Design team on various space planning capital and renovation projects. Supports the planning and coordination of project tasks scopes of work timelines for assigned projects and project budgets. Supports the management of projects in coordination with divisional directors project managers and third-party service providers such as design firms consultants contractors and construction managers. Focuses on service delivery timelines and campus clients satisfaction. Supports the planning and capital project management teams as needed.

Responsibilities
Project Management Support Support management of planning capital and renovation projects. Assist in development of documentation including project narratives dashboards budgets schedules financial projections and other reporting and managing documents Assist in the preparation of project scopes of services agreements and contracts. Support the coordination of the selection of architects contractors and consultants appropriate to project types and scopes. Support the execution of Requests for Qualifications and Requests for Proposals. Support the completion and/or amendment of contract agreements with awarded external consultants architects contractors vendors and other professionals in collaboration with the Office of General Counsel and Risk Management. Research Coordination Monitoring Documentation Assist in researching technical solutions regarding matters of campus design planning development entitlement and capital construction projects during all project phases. Assist in the coordination of document reviews by the appropriate and relevant campus departments. Maintain project documentation in a timely and highly organized manner. Support coordination of internal approvals from appropriate parties as required. Support the preparation and distribution of reports to appropriate personnel as required. Coordinate project closeout documentation as assigned. Assist in projects involving occupant relocations and move-ins. Assist in the advancement of the campus accessibility and sustainability goals and objectives. Quality Control and Standard Assist in the development and refinement of design and construction guidelines and standards for buildings and campus design elements Assist in conducting quality control reviews of project documents. Assist in the development and updating of documentation related to department project management standards administrative procedures and reports. Assist in the development and updating of documentation related to architectural and interior design standards. Support appropriate architectural quality and design excellence.

Required Qualifications
Education: Bachelors degree with preference for degree in Architecture Construction Management Project Management Interior Design or a related design or production field or equivalent work experience. Professional Experience: One (1) year of experience in a combination of design project coordination space planning production construction management and/or contract and budget tracking preferably in institutional projects Technical skills in drafting and project management software (e.g. SketchUp AutoCAD Bluebeam SmartSheets and related programs). Additional Qualifications Sought: Knowledge Skills Abilities Knowledge and experience in the design development and coordination for capital projects. Strong time management skills. Ability to track project budgets and timelines. Ability to support project management processes. Ability to effectively prioritize assigned tasks.
