Job Summary

MalaceHR is a national provider of facilities management skilled trades and workforce solutions partnering with leading organizations across a variety of industries. We are seeking a highly organized and detail-oriented Assistant Facilities Manager to support the day-to-day operations of a secure commercial facility while assisting with additional regional locations.

Position Summary

The Assistant Facilities Manager supports the overall operation and maintenance of assigned facilities by working closely with the Senior Facilities Manager to ensure safe efficient and cost-effective building operations.

This role focuses on vendor management maintenance coordination budgeting reporting and facility operations rather than performing hands-on maintenance work. The ideal candidate understands commercial building systems and can effectively manage vendors contractors and facility personnel while maintaining exceptional customer service and operational excellence.

This individual will supervise two onsite team members while helping oversee facilities located in Maryland Pennsylvania New York and Washington D.C.

Responsibilities

  • Assist in managing daily operations of commercial facilities to ensure safe reliable and efficient building performance.
  • Coordinate preventive and corrective maintenance activities for HVAC electrical plumbing fire/life safety and other critical building systems.
  • Manage third-party vendors and contractors including scheduling quality assurance and service performance.
  • Utilize Corrigo CMMS to manage work orders from creation through completion while maintaining accurate documentation.
  • Conduct routine facility inspections to identify maintenance needs safety concerns and operational improvements.
  • Assist with annual operating budgets expense tracking invoice review and financial reporting.
  • Review maintenance proposals and support procurement activities.
  • Prepare monthly reports related to maintenance budgets projects KPIs and facility performance.
  • Serve as a primary point of contact for occupants vendors and service providers.
  • Coordinate facility projects inspections and capital improvement initiatives.
  • Support compliance with all company client and regulatory safety requirements.
  • Collaborate with Security IT Environmental Health & Safety (EHS) Property Management and other internal stakeholders.
  • Supervise and support two onsite employees while promoting a positive and productive work environment.
  • Travel approximately once per month to support additional regional facilities.

Qualifications

  • High school diploma or equivalent required.
  • Valid drivers license required.
  • Minimum of 3 years of commercial facilities management experience.
  • Strong understanding of commercial building systems including:
    • HVAC
    • Electrical
    • Plumbing
    • Fire/Life Safety Systems
    • Building Automation Systems (BAS/BMS)
  • Experience coordinating vendors and service contractors.
  • Financial budgeting and expense management experience.
  • Strong organizational skills with exceptional attention to detail.
  • Excellent communication and customer service skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Experience using CMMS software; Corrigo experience is highly preferred.
  • Proficient with Microsoft Office Suite (Excel Word Outlook PowerPoint) SharePoint and reporting tools.

Preferred Qualifications

  • Previous experience supporting government or secure facilities.
  • Military background is highly desirable.
  • Experience managing facility budgets and financial reporting.
  • Experience supervising facility staff.
  • Knowledge of preventive maintenance planning and project coordination.
