Job Summary
Position Overview
CSA Ocean Sciences Inc. is seeking a sophisticated highly organized Assistant Contracts Administrator to join our corporate headquarters in Stuart FL. Operating in close partnership with the Lead Contracts Administrator and the Proposal Team this critical office-based role will be responsible for daily contract administration compliance monitoring and commercial insurance tracking. The successful candidate will serve as a vital operational bridge between project managers finance personnel business development and executive leadership to protect corporate assets and ensure seamless project execution.
Core Responsibilities
- Contractual Oversight:Support the review routing and execution of contracts task orders subcontracts amendments non-disclosure agreements (NDAs) and equipment rentals.
- Risk & Compliance Management:Facilitate the issuance and receipt of Certificates of Insurance (COIs) maintain geographic tax requirement databases and support of anti-bribery/anti-corruption policies.
- Project Lifecycle Coordination:Coordinate project startup activities track client contract modifications manage funding adjustments and assist with subcontractor onboarding.
- Data & Template Control:Maintain digital document repositories track option periods/expiration dates and update standard commercial templates.
Required Qualifications & Experience
- Education:Associate or bachelors degree in business administration Finance Legal Studies Project Management or a related discipline.
- Experience:Minimum of two (2) years of professional experience supporting contract administration procurement legal administration or project coordination.
- Technical Mastery:Advanced proficiency in Microsoft Office Suite specifically Word Excel Outlook Teams and SharePoint.
- Core Competencies:Exceptional attention to detail strict adherence to business confidentiality and a proven ability to manage multiple high-priority deadlines independently.
- Credentials:Possession of a valid U.S. Drivers License.
Preferred Background
- Exposure to government contracts IDIQ mechanisms task orders or commercial agreements.
- Knowledge of commercial insurance with an emphasis on the maritime industry
- Industry experience within marine science offshore energy environmental consulting or engineering firms.
- Familiarity with enterprise software platforms such as Deltek Acumatica Salesforce or Microsoft Dynamics.
