If youre detail-oriented organized proactive and thrive in a fast-paced financial environment the Advisor Associate role is an opportunity to become the primary operational and client-service partner to an Advisor while directly contributing to client experience asset growth and the firms success.


Role:

The Advisor Associate serves as the primary operational and client-service partner to assigned Advisor(s) owning the client experience from account setup through funding and ongoing service. This role combines client onboarding ownership with advisor support asset-growth responsibilities client service and ongoing account coordination.

Success in this role means the Advisor can trust that commitments are being executed assets are actively pursued and funded clients feel known rather than processed and every case is documented clearly enough for another team member to pick up without delay.

Responsibilities:

Client Onboarding & Account Setup

  • Guide new and established clients through the setup of Fidelity accounts ensuring applications forms transfer documents and requirements are completed accurately and timely.
  • Assist prospects and clients with the Client Agreement and Fidelity applications clearly explaining the process and answering questions during signing.
  • Conduct consistent weekly follow-up on Fidelity account setup transfers rollovers and outstanding requirements until completion.
  • Execute Advisor instructions accurately and in alignment with the clients financial plan escalating unclear or incomplete instructions before proceeding.
  • Monitor onboarding work completed by supporting roles and confirm required steps are completed correctly for assigned clients.

Advisor Support & Case Ownership

  • Open and manage Special Request cases for assigned Advisor(s) and treat each request as a potential transfer or asset-growth opportunity.
  • Keep assigned Advisor(s) informed of client concerns funding status delays NIGOs risks and anything that may fall through the cracks.
  • Prepare for and participate in recurring onboarding/advisor meetings with accurate case statuses next steps and funding expectations.
  • Own assigned requests end to end rather than relying on the Advisor to confirm that commitments were completed.

Asset Growth & Funding

  • Identify held-away assets through Retirement Analyzer updates client conversations reviews and service interactions.
  • Create a Salesforce Opportunity for every transfer opportunity being worked and keep the Stage expected amount last contact date and next step current.
  • Own transfer opportunities end to end: client conversation paperwork follow-up transfer and confirmation of funding.
  • Work the Opportunity list daily prioritizing items by Owner Last Contact Date urgency and funding opportunity.
  • Log farming and outreach calls consistently using the required naming convention so the activity history is clear.

Client Service

  • Handle inbound client calls and emails professionally and return client communications by the end of the business day.
  • Complete in-person and in-office client signings and support walk-ins and other client-facing needs.
  • Support the main phone queue and uphold the firms answer-rate and client-service standards.
  • Communicate proactively so clients understand what is happening what is needed from them and what the next step will be.

Documentation & Systems

  • Log client and prospect interactions in Salesforce on the day they occur.
  • Document meaningful case changes including funds received NIGOs timeline changes missing requirements client concerns or breakdowns in process.
  • Maintain complete and accurate Household Person Account Opportunity Case Premium and related CRM records.
  • Correct inaccurate client or household information when identified and escalate information that cannot be resolved rather than working around it.
  • Maintain records and documentation in accordance with firm compliance and recordkeeping standards.

Teamwork & Coverage

  • Provide coverage for assigned backup Advisor(s) and clients during team member absences to the same service and documentation standard.
  • Collaborate with Advisors Representatives Operations Trade Team Service Team Specialists and other departments so client requests move without unnecessary delay.
  • Support in-office needs including client signings walk-ins phone coverage and other reasonable department responsibilities.

Requirements:
  • 1 years of experience in wealth management financial services client onboarding client service or a related role preferred.
  • Working knowledge of investment accounts custodial processes transfers rollovers and financial planning workflows preferred.
  • Exceptional attention to detail organization and data accuracy.
  • Strong interpersonal and communication skills with the ability to build rapport and trust with clients and Advisors.
  • Self-motivated proactive accountable and comfortable owning responsibilities from start to finish.
  • Ability to prioritize multiple client cases funding opportunities and time-sensitive requests in a fast-paced environment.
  • Tech-savvy with proficiency in CRM systems and financial tracking tools; Salesforce and Retirement Analyzer experience preferred.
  • Bilingual in English and Spanish preferred (verbal and written).
  • Commitment to ongoing education compliance and acting in the best interest of the client.

What We Are Expecting:
  • Clear ownership of the assigned Advisors client experience from account setup through funding and ongoing service.
  • Consistent proactive client follow-up and communication with client calls and emails returned by the end of the business day.
  • Accurate timely and thorough Salesforce documentation and financial data updates.
  • Daily attention to transfer opportunities and held-away assets with clear ownership through funding.
  • Strong communication with assigned Advisor(s) regarding client concerns funding status risks and next steps.
  • Consistent achievement of performance standards including a minimum of 70% of the assigned Advisor(s) monthly G1 goal and a minimum 70% Dollar Amount Agreed-to-Funded rate; the target Agreed-to-Funded standard is 85% or greater.
  • Active contribution to department coverage team efficiency and an exceptional client experience.
  • Ownership and accountability: follow through on commitments and escalate issues before they fall through the cracks.
Schedule:
  • Full-time role based in Miami FL.
  • 9:00 AM 6:00 PM with a 1-hour unpaid lunch.
  • Flexibility for client appointments and business needs as required.

Compensation:

$70000 - $110000 Total Compensation (Base Salary Performance Incentives)
