Job Summary:

The purpose of the Administrative Services Officer 2 position is to provide the necessary administrative support for the Administrative Law Judge (ALJ) Division.

The State of Arizona strives for a work culture that affords employees flexibility autonomy and trust. All work including remote work should be performed within Arizona unless an exception is properly authorized in advance.

Job Duties:

Essential Duties and Responsibilities include but are not limited to:


This position serves as the internal and external customer liaison for the ALJ Division
This position is responsible for developing and implementing operational processes
Prepares ALJ statistical reports
Serves as the ALJ computer system superuser
Trains ALJs and support staff regarding ALJ Case Management document production and database utilization
Serves as the Legal Secretary for the Chief Administrative Law Judge and the Duty Judge.

Knowledge Skills & Abilities (KSAs):

Knowledge in

  • Arizona Workers Compensation laws rules and regulations
  • ALJ Division workflows sequences and patterns.
  • Windows Google Word and Excel
  • Skills in
    Excellent analytical problem solving skills
    Oral and written communication skills.
    eveloping spreadsheets and creating statistical reports.
    Supervising direct reports coaching and training staff to optimize overall job performance.

    Ability to
    Effectively manage projects and meet deadlines.
    Manage heavy workload with high level of accuracy and production.
    Interpret ALJ case management transaction histories providing guidance on complicated trasation scenarios.
    Recognize and engage those with different backgrounds characteristics and perspectives to bridge gaps in understanding of differing viewpoints as well as ensuring persons with diverse perspectives are given the opportunity to collaborate and provide input.
    Learn train and develop new processes and procedures to effectuate the goals and objectives of the division.


Selective Preference(s):

Knowledge of Arizona Workers Compensation claims processing procedures and hearing operations. Experience utilizing legal case management software systems. Previous supervisory experience preferred.

Pre-Employment Requirements:

If this position requires driving or the use of a vehicle as an essential function of the job then the following requirements apply. Any employee operating a motor vehicle on State business must possess and retain a current valid Arizona class-appropriate drivers license complete all required training and successfully pass all necessary drivers license record checks. The license must be current unexpired and neither revoked nor suspended. Employees who drive on state business are subject to drivers license record checks must maintain acceptable driving records and must complete all required driver training. An employee who operates a personally owned vehicle on state business shall maintain the statutorily required liability insurance (see Arizona Administrative Code (A.A.C.) R.11).

All newly hired State employees are subject to and must successfully complete the Electronic Employment Eligibility Verification Program (E-Verify).

Retirement:

You will be eligible to participate in the state employee health/disability insurance plan and you are required to participate in the Arizona State Retirement System (ASRS). ASRS participation may begin immediately or upon your 27th week of employment. Contributions are matched by the employer.
