Job Summary

Carter Psychology Center is seeking a proactive and detailed Remote Administrative Support Specialist to join our clinical administrative this position you will perform essential clerical and operational functions to support daily practice logistics coordinate patient intake documentation and manage administrative communications. Operating in a fully remote capacity you will help streamline front-office workflows and ensure seamless administrative delivery for our clinical staff and clients.

Key Responsibilities

  • Administrative Coordination: Support daily clinic operations by monitoring intake queues updating digital patient files and organizing clinical correspondence through secure remote administrative channels.
  • Intake & Document Management: Process incoming client registration materials verify completed consent forms and organize patient documentation within our central database.
  • Schedule & Communications Support: Assist with administrative outreach manage digital inquiries and coordinate schedule updates between administrative leads and clinical practitioners.
  • Data Verification & Auditing: Cross-reference patient administrative records to ensure data accuracy proper filing and complete records compliance.
  • Information Security: Maintain strict adherence to HIPAA guidelines and institutional privacy standards while managing client records from a secure home office setting.

Qualifications & Requirements

  • Education: High School Diploma or equivalent required; Associates degree or administrative certification preferred.
  • Experience: 13 years of experience in administrative support office clerical work or healthcare administrative operations.
  • Technical Skills:
    • High proficiency with Microsoft Office Suite (Word Excel Outlook) and cloud-based office software.
    • Familiarity with Electronic Health Record (EHR) platforms or patient scheduling software.
    • Reliable high-speed internet and a private home office environment suited for secure remote clinical administrative work.
  • Core Competencies:
    • Exceptional organizational and multi-tasking abilities with strong attention to detail.
    • Excellent written and verbal communication skills.
    • High ethical standards regarding confidentiality and compliance with privacy laws.

Compensation & Work Structure

  • Schedule: Monday Friday flexible daytime operational hours.
  • Environment: 100% remote position featuring digital orientation and ongoing management check-ins.
  • Compensation: Competitive hourly rate commensurate with administrative experience ($25.00 $29.00/hour).
