Job Summary
Position Summary
The Office Assistant is responsible for supporting daily administrative operations by maintaining accurate records organizing and filing documents managing customer waiting area refreshments monitoring inventory levels and performing general office duties. This role helps ensure an organized efficient and welcoming environment for both customers and employees.
Key Responsibilities
- Scan index and electronically file dealership documents accurately and in a timely manner.
- Organize maintain and archive physical and digital records.
- Ensure customer waiting areas are clean stocked and presentable at all times.
- Manage inventory of complimentary refreshments snacks coffee supplies and related items.
- Monitor inventory levels and notify management when replenishment is needed.
- Assist with general filing data entry and administrative projects.
- Sort distribute and maintain office paperwork and records.
- Maintain confidentiality of customer and company information.
- Provide support to various departments as needed.
- Perform other administrative and office-related duties as assigned by management.
Qualifications
- High school diploma or equivalent preferred.
- Strong organizational skills and attention to detail.
- Ability to manage multiple tasks and priorities.
- Basic computer skills including Microsoft Office and document scanning systems.
- Professional demeanor and strong work ethic.
- Ability to work independently and as part of a team.
- Ability to lift and carry office and refreshment supplies as needed.
Physical Requirements
- Ability to stand walk bend and lift up to 25 pounds.
- Ability to perform routine filing and document management tasks.
