Job Summary

Littlefield Physical Therapy Inc. is seeking a reliable organized and friendly Administrative Clerk to support the day-to-day administrative operations of our physical therapy practice. The Administrative Clerk will assist with front-office duties patient scheduling records management communication and general clerical tasks while providing excellent customer service to patients and staff.


Essential Duties and Responsibilities

  • Greet patients and visitors in a professional and welcoming manner.
  • Answer screen and route incoming telephone calls and messages.
  • Schedule confirm and reschedule patient appointments.
  • Assist patients with check-in and check-out procedures.
  • Maintain accurate patient and administrative records.
  • Enter and update information in electronic medical records and office systems.
  • Process forms correspondence reports and other administrative documents.
  • Assist with insurance information referrals authorizations and related paperwork as directed.
  • Collect and document patient payments and provide receipts when applicable.
  • Organize and maintain physical and electronic files in accordance with office procedures and privacy requirements.
  • Communicate with patients healthcare providers insurance companies and other parties as needed.
  • Assist therapists and office staff with administrative and clerical tasks.
  • Monitor office supplies and assist with ordering and inventory.
  • Receive sort and distribute mail and other correspondence.
  • Maintain a clean organized and professional reception and administrative area.
  • Protect patient confidentiality and follow applicable privacy and office policies.
  • Perform other administrative duties as assigned.

Qualifications

  • High school diploma or equivalent required.
  • Previous administrative receptionist medical office or customer service experience preferred.
  • Strong verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Ability to manage multiple tasks and prioritize work in a busy healthcare environment.
  • Professional courteous and patient-focused manner.
  • Basic computer skills including Microsoft Office and electronic record systems.
  • Ability to learn practice-management and electronic medical record software.
  • Ability to work effectively both independently and as part of a team.
  • Knowledge of medical terminology insurance processes or physical therapy office procedures is a plus.
